Position Summary
The Operations Manager works closely with the CEO and Senior Operations Advisor to oversee the full operational ecosystem of the business. This role ensures seamless communication across all departments, maintains strong client and vendor relationships, supports product launches, and drives efficient fulfillment operations.
The Operations Manager plays a key role in aligning teams, maintaining operational accuracy, supporting billing workflows, and ensuring the company’s processes run smoothly. This is a highly cross-functional role focused on execution, coordination, and continuous improvement.
Key Responsibilities :
Client Management & Product Launch Coordination :
- Manage client relationships by serving as a primary point of contact during launches.
- Oversee communication, timelines, and expectations to ensure a smooth client experience.
- Represent the company professionally in all client interactions.
- Support behind-the-scenes operational tasks to facilitate client needs and project execution.
- Coordinate with clients as needed to align operational requirements with project goals.
Operational Oversight & Fulfillment Support :
Support fulfillment operations in partnership with warehouse and departmental managers.Ensure shipping deadlines, accuracy rates, and SLA commitments are consistently met.Monitor operational performance through systems such as Jazva and other WMS or shipping tools.Assist in evaluating shipping carriers and vendors to maintain service quality and competitive pricing.Financial & Billing Accuracy (Support Role) :
Ensure operational fees, rates, and billing details are accurately recorded and communicated.Collaborate with the accounting team on billing verification, rate accuracy, reconciliations, and reporting.Monitor shipping spend, return trends, and general operational data (without financial approval authority).Provide operational data to accounting for forecasting and budgeting.Cross-Functional Alignment :
Facilitate communication among Customer Service, Warehouse, HR, Accounting, Creative, and other teams.Lead or support meetings related to product launches, projects, and operational improvements.Maintain strong alignment across leadership to ensure consistent execution and accountability.Process Optimization & SOP Development :
Create, maintain, and improve operational Standard Operating Procedures (SOPs).Identify opportunities for efficiency gains, cost reductions, and workflow improvements.Help evaluate tools and systems (WMS, CRM, shipping software, project management tools) for potential upgrades.Track operational KPIs and report findings to the CEO and Senior Operations Advisor.Administrative & Project Management Support :
Support the CEO with operational follow-up, reporting, timelines, and cross-department coordination.Assist with vendor management, service agreements, and operational documentation.Maintain compliance with internal processes and uphold strong internal communication standards.Leadership & Culture :
Demonstrate strong communication, professionalism, and teamwork across departments.Provide guidance and support to managers and leads to maintain a cohesive and accountable culture.Help model and uphold company values during periods of rapid growth and operational change.Qualifications & Skills :
Experience :
5–7+ years of operations experience in e-commerce, fulfillment, logistics, or related fields.Experience supporting product launches or high-volume operational cycles.Proven ability to coordinate with cross-functional teams and manage complex workflows.Understanding of shipping carriers, rate structures, and fulfillment operations.Experience with tools such as WMS platforms, CRM systems, and project management tools.Education :
Bachelor’s degree in Business, Operations Management, Supply Chain, or a related field.MBA or advanced education is a plus but not required.Skills :
Strong financial literacy regarding billing accuracy, operational costs, and rate structures.Excellent communication, leadership, and problem-solving abilities.Deep understanding of e-commerce logistics, supply chain operations, and inventory workflows.High organizational skills with the ability to manage multiple deadlines.Strategic thinker with strong follow-through and execution capabilities.Ability to thrive in a fast-paced, rapidly evolving environment.
