Executive Assistant to Chief Executive Officer
As the Executive Assistant to the CEO, you will be the driving force behind the smooth operation of our executive office. Your role is pivotal in ensuring that our CEO can focus on strategic initiatives while you expertly manage their agenda, coordinate projects, and provide top‑notch administrative and operational support. You thrive in fast‑paced environments, bringing your organizational skills and proactive, positive attitude to every task.
Responsibilities
Coordinate all CEO projects, ensuring completion and effective communication.
Assist with special projects, presentations, and marketing initiatives.
Handle document preparation, reporting, and investor communications.
Maintain confidentiality with all internal and external communications.
Coordinate logistics for meetings, travel, and special events.
Serve as a liaison between the CEO and internal / external stakeholders.
Manage and maintain the CEO’s calendar, scheduling meetings and appointments with precision.
Plan and organize events.
Serve as the first point of contact for incoming calls, demonstrating exceptional interpersonal skills.
Oversee office management duties including filing, data entry, and clerical tasks to keep operations running smoothly.
Utilize Microsoft Office Suite and Google Workspace for document creation and management.
Qualifications
Bachelor’s degree or equivalent experience.
Communication skills, written / verbal.
Ability to prioritize and meet deadlines; keep information confidential.
Proven experience in an executive administrative support role or as a personal assistant.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Proficient in Microsoft Outlook Calendar and multi‑line phone systems.
Excellent computer literacy with familiarity in DocuSign for document management.
Experience with project coordination and office management.
Background in customer service with a focus on building positive relationships.
Familiarity with bookkeeping practices and financial software like QuickBooks.
Minimum of 5 years’ experience supporting a senior executive or CEO.
Demonstrated project management and organizational excellence.
Proficiency in Google Workspace, Microsoft Office, and digital collaboration tools.
Strong interpersonal and written communication skills.
Ability to handle confidential information with professionalism.
Financial industry or FinTech experience preferred.
Residence in the Tampa Bay area preferred but not required.
