The Operations Specialist will assist in managing the complete order lifecycle, identifying and correcting errors to maintain data integrity and contributing to SOP creation and edits. The position also assists in the backend data exchange management of all systems utilized for the proper flow of product inventory and order completion. The role will be responsible for all LTL orders and shipments along with managing any claims, disputes and inquiries regarding logistics of wholesale order.
Essential Functions / Responsibilities :
- Understand and assist in managing the complete end-to-end order processing workflow, including proactively identifying and resolving operational issues to ensure accuracy, efficiency, and customer satisfaction.
- Assist in developing Standard Operating Procedures for all aspects of the end-to-end order processing workflow
- Manage end-to-end order processing for all freight orders including Amazon FBA shipments.
- Provide reliable backup coverage for order processing functions, maintaining workflow continuity and supporting team efficiency.
- Assist in investigating and resolving inventory discrepancies to ensure data accuracy and inventory integrity.
- Assist wholesale shortship / overship and RTV reconciliation, preparation and submission of claims / disputes to vendors and / or carriers.
- Assists in product creation and maintenance in all backend systems (BC, DB, Partner Portals)
- Assists in the setup, management and maintenance of customer backend data, including but not limited to data exchange connections and product catalogs across all backend systems.
- Assist and manage calculating inventory, providing input and feedback for 3PL replenishment and aid in the execution of timely and accurate inventory counts as well as annotate and solve discrepancies.
- Assist in ocean container local logistics, including but not limited to, assigning delivery locations based on inventory availability and upcoming sales / promotions and confirmation of received quantities.
- Assist in warehouse organization / optimization and enforce a safety centric environment.
- Assist in receiving, loading, picking, packing, and shipping orders when required.
- Assist in various department and company specialty projects when necessary
- Strong knowledge of automated EDI / API workflows, with hands-on experience using integration platforms such as SPS Commerce and Rithum (CommerceHub / DSCO)

Due to the nature of our business, overtime may be required, but not guaranteed, during busy seasons with advance notice of at least 5 business days. Busy periods are typically between May - July and November - January. Other reasons why overtime may be required are when sales or promotions occur or during inventory counts. At a minimum, 5-10 hours of work will be required each week during these busy seasons. The coordination of these schedules will be managed by the Warehouse Manager and Operations Manager and discussed during the weekly / daily stand-up meetings.
As a standard, Wonderfold / E Solutions strives to limit unnecessary overtime and will only allow approved overtime (similar to busy periods). When unapproved overtime occurs, the overtime policy and procedure must be followed. During busy seasons, all rest and meal break policies must be followed unless approved by the manager and proper documentation is completed.
