About this position

The human resources assistant temp is responsible for a variety of general clerical tasks, assisting HR management in relation to the daily operations of the department. This is a temporary, non-benefitted position with an expected duration of two to six months.

What you’ll be doing

  • Maintaining the utmost level of confidentiality regarding all employee records and sensitive company information;
  • Accurately entering changes to employee records in the HRIS;
  • Accurately maintaining documents that pertain to employee records, which include scanning and attaching records;
  • Approving employee-initiated changes in the HRIS;
  • Assisting with annual audits in relation to employee records;
  • Assisting with completing and processing employment verifications;
  • Maintaining employee certification tracking, including but not limited to : work authorization renewals, annual flu waivers, and health and TB screening renewals;
  • Reviewing and handling Employment Development Department (EDD) unemployment claims;
  • Processing department work orders with the facilities department;
  • Assisting with purchasing office supplies for the department;
  • Answering general employee inquiries and forward calls to appropriate team members;
  • Processing employee name changes with appropriate departments within the organization;
  • Sorting and distributing electronic and physical HR correspondence;
  • Organizing annual update to compliance postings;
  • Working effectively and cooperatively with Human Resources team members;
  • Assisting the Payroll department with general inquiries regarding employee records;
  • Working with the Communications department to maintain an updated HR employee portal page and information;
  • Reading and implementing all organization and program policies and procedures;
  • Actively participating in departmental, organizational and professional meetings and workgroups, as assigned;
  • Serving as a back-up for team members as needed;
  • Submitting various reports as assigned;
  • Other related duties and special projects, as assigned, to ensure successful management of the department.

What you bring to the table

  • Associate’s degree in human resources management, business or a relevant field. Related work experience may be substituted for education requirement;
  • Working experience with HR / Payroll information systems (preferred);
  • Minimum of two years general clerical experience in an employee-focused environment (four years without a degree);
  • Proficiency in Microsoft Office suite;
  • Detail-oriented, highly organized, self-starter that can work on multiple-tasks with minimum supervision;
  • California driver’s license, daily use of an automobile, and current automobile liability insurance (preferred);
  • Ability to work with people in a personable and sincere manner;
  • Ability to communicate in written and oral English correctly and effectively.

  • Job specifications

  • Reports to the human resources manager;
  • Temporary (two to six month duration) with no benefits;
  • Non-exempt, full-time;
  • Eight-hour workday, four-day work week;
  • Opportunity for hybrid-work schedule may be available and to be determined by management;
  • Limited evening or weekend hours may be required;
  • Employment, responsibilities, compensation and other factors may be affected by changes in governmental regulations, the organization’s contracts, or at organization discretion.
