Overview
We are seeking a detail-oriented, organized, and proactive Office Administrator to join our growing custom apparel business. The ideal candidate will thrive in a fast-paced, creative production environment and play a key role in coordinating daily operations—from managing customer orders to supporting our production and sales teams.
Key Responsibilities
- Order Management :
- Enter and process sales orders accurately in our accounting software (e.g., Sage or similar).
- Review purchase orders, confirm details with customers, and coordinate order timelines with production.
- Track order status, follow up on approvals, and ensure timely completion and delivery.
- Administrative & Office Support :
- Handle phones, emails, and general correspondence with professionalism and attention to detail.
- Maintain organized digital and physical records of orders, invoices, and vendor documents.
- Assist with invoicing, payment tracking, and light bookkeeping support.
- Production Coordination :
- Communicate order details and deadlines to the production team (screen printing, embroidery, and fulfillment).
- Prepare production schedules and update them as orders evolve.
- Ensure all artwork and product information is accurate and available for each job.
- Customer Service :
- Act as a liaison between customers and internal teams, providing timely updates and resolving issues.
- Support walk-in customers and assist with product or order inquiries.
- Artwork & Marketing Support (Preferred) :
- Assist with light artwork preparation (logos, proofs, layouts) using basic design software.
- Help manage digital content for online stores or customer portals when needed.
Qualifications
Previous experience in office administration, order management, or production coordination (preferably in a print, embroidery, or manufacturing environment).Strong organizational and multitasking skills with the ability to manage competing priorities.Proficient in Microsoft Office (Excel, Word, Outlook); experience with Sage , QuickBooks, or similar software a plus.Excellent communication and customer service skills.Basic familiarity with artwork files (.ai, .pdf, .png, etc.) and an eye for detail.Team-oriented, dependable, and capable of working in a small business environment where every role makes an impact.Compensation & Benefits
