Job description

Overview

We are seeking a detail-oriented, organized, and proactive Office Administrator to join our growing custom apparel business. The ideal candidate will thrive in a fast-paced, creative production environment and play a key role in coordinating daily operations—from managing customer orders to supporting our production and sales teams.

Key Responsibilities

  • Order Management :
  • Enter and process sales orders accurately in our accounting software (e.g., Sage or similar).
  • Review purchase orders, confirm details with customers, and coordinate order timelines with production.
  • Track order status, follow up on approvals, and ensure timely completion and delivery.
  • Administrative & Office Support :
  • Handle phones, emails, and general correspondence with professionalism and attention to detail.
  • Maintain organized digital and physical records of orders, invoices, and vendor documents.
  • Assist with invoicing, payment tracking, and light bookkeeping support.
  • Production Coordination :
  • Communicate order details and deadlines to the production team (screen printing, embroidery, and fulfillment).
  • Prepare production schedules and update them as orders evolve.
  • Ensure all artwork and product information is accurate and available for each job.
  • Customer Service :
  • Act as a liaison between customers and internal teams, providing timely updates and resolving issues.
  • Support walk-in customers and assist with product or order inquiries.
  • Artwork & Marketing Support (Preferred) :
  • Assist with light artwork preparation (logos, proofs, layouts) using basic design software.
  • Help manage digital content for online stores or customer portals when needed.

Qualifications

  • Previous experience in office administration, order management, or production coordination (preferably in a print, embroidery, or manufacturing environment).
  • Strong organizational and multitasking skills with the ability to manage competing priorities.
  • Proficient in Microsoft Office (Excel, Word, Outlook); experience with Sage , QuickBooks, or similar software a plus.
  • Excellent communication and customer service skills.
  • Basic familiarity with artwork files (.ai, .pdf, .png, etc.) and an eye for detail.
  • Team-oriented, dependable, and capable of working in a small business environment where every role makes an impact.
