Administrative Assistant III
The Administrative Specialist III serves as the primary administrative assistant to the Dean of the College of Research and Graduate Studies. This position provides advanced administrative, operational, and fiscal support to the Dean and the College, coordinating daily office operations, managing purchasing and travel processes, and assisting with budget oversight. The role also supports the broader functions of the College, including faculty, staff, and student services, and the coordination of events and academic operations. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic academic environment.
Serve as the primary administrative support to the Dean of the College of Research and Graduate Studies.
Coordinate and facilitate travel arrangements for faculty, staff, and students across the College, ensuring compliance with institutional travel policies.
Manage purchasing and procurement processes for the College, serving as the primary point of contact for all transactions.
Assist with management of the College's operating budget, tracking expenditures and preparing budget-related documentation as directed by the Dean.
Oversee front office operations including reception, supply ordering, inventory tracking, and workspace organization.
Hire, train, schedule, and supervise student employees; evaluate performance and ensure high-quality service.
Prepare and process forms, documents, and budget requests in accordance with institutional procedures.
Support planning and execution of College and Graduate School events and activities.
Assist students and faculty with registration-related tasks and course scheduling as needed.
Maintain accurate records and ensure compliance with university policies and procedures.
Perform other duties as assigned.
Knowledge of administrative and financial practices in a higher education setting.
Proficiency in Microsoft Office applications, particularly Excel and Word.
Strong written and verbal communication skills.
Ability to plan, organize, and direct the work of student employees.
Strong attention to detail, with the ability to manage multiple priorities effectively.
Professional demeanor and commitment to excellent customer service.
High school diploma or equivalent.
Two years of experience in a specialized or related administrative field.
Experience providing administrative support in a higher education setting.
Experience managing travel and purchasing transactions.
Familiarity with Banner, Argos, Ad Astra, or similar administrative systems.
Experience supporting budget management and reporting.
Experience hiring, training, and supervising hourly or student workers.
Experience coordinating events or college-level initiatives.
In-person position based on the Russellville Campus RCB Building.
Physical activities include sitting, standing, reaching, bending, and stooping.
Requires manual dexterity, vision, hearing, and speaking.
