Program Aide
As a Program Aide within the Division of Compliance and Education, the incumbent will :
- Create Labor Standards Claim entries and input data into the Worker Protection Case Management system
- Conduct maintenance and overview of Division of Compliance and Education (DOCE) Outreach and Agriculture Labor Program Logs, including analysis of data and monitoring for trends.
- Assist with mandatory reporting by collecting and tabulating data.
- Analyze the data and report their findings in written format.
- Monitor, gather, and evaluate daily records from staff prior to supervisory review.
- Assist with the recruitment, preparation, and processing of incoming hires.
- Responsible for keeping track of inventory and making the required purchases for the Division. It is important for the incumbent to monitor funds and ensure compliance with applicable laws, rules and regulations.
- Independently review, organize and respond to customer and stakeholder inquiries from all modes of communication within the division.
- Assist division director with any office related matters.
- Assist Communications and Language Access Specialist with periodic review and preparation of outreach materials and serve as liaison with Communications Division.
- Review schedules and leave dates of division members and independently determine the needs and priorities required to support professional staff. As needed, make appropriate recommendations to supervisory to maintain office workflow.
- Make travel arrangements and book reservations for the division. Enter expense reports using the Statewide Financial System (SFS). Responsible for reconciling any discrepancies.
- Assist supervisors by monitoring and reviewing the performance evaluation report provided by the Performance Management Unit (PMU). Identify any missing or late evaluations and independently discern what action needs to be taken.
- Other duties will be required, as needed.
Preferred Qualifications :
Ability to initiate and maintain relationships across a diverse set of stakeholders.Excellent organizational, written, and verbal communication skills. Able to work independently and as part of a team, multi-task, display flexibility and complete assignments within short timeframes.Experience with the Statewide Financial System, voucher processing, travel / expense processing, meeting scheduling, supply ordering.Must have working knowledge Microsoft Access, Office Suite and Excel services with data entry.Spanish fluency preferred.Minimum Qualifications :
