Purpose
The Human Resources Assistant provides essential administrative support that keeps The Heritage Community running smoothly. This role manages documentation, onboarding, compliance tracking, and daily coordination to ensure every employee feels welcomed, supported, and valued. As a primary point of HR contact, the HR Assistant models professionalism, compassion, and reliability in every interaction.
Core Responsibilities
Maintain Accurate Employee Records : Organize and update personnel files; manage digital and physical documentation; support audits and investigations.
Ensure Regulatory & Accreditation Compliance : Track background checks, credentials, TB tests, required trainings, and policy acknowledgments. Follow up promptly to meet state and federal standards.
Process Background Screenings : Initiate and monitor fingerprinting, abuse-registry checks, and other pre-employment verifications with strict confidentiality.
Coordinate Onboarding : Prepare documents, schedule orientation, verify I-9 / E-Verify, and guide new hires through initial compliance tasks.
Manage HR Tracking Systems : Maintain tools for monitoring leaves, deadlines, certifications, and disciplinary actions; identify gaps and escalate concerns as needed.
Protect Confidential Data : Follow HIPAA, FERPA, and internal privacy requirements at all times.
Support HR Process Improvements : Help refine administrative workflows and increase efficiency, accuracy, and consistency.
Communicate Professionally : Respond to inquiries promptly, respectfully, and with a solution-focused approach.
Model Organizational Mission & Values : Provide dependable, service-oriented support that contributes to a positive employee experience.
Provide Flexible HR Support : Assist with audits, events, trainings, system maintenance, and department initiatives as assigned.
Qualifications
Strong attention to detail and ability to maintain organized, compliant employee records
Understanding of HR compliance requirements (background checks, licensing, I-9 / E-Verify, training, etc.)
Ability to handle sensitive information with confidentiality and integrity

Remain composed and professional in a residential treatment environment, including during acute student mental-health situations
Work Environment
Primarily office-based within a residential treatment center. Requires regular interaction with staff and students and the ability to remain calm, professional, and attentive in emotionally intense or crisis-related situations. Occasional movement across campus is required.
