  • AIR Control Concepts | HVAC Partnerships, Growth & Support Across North America   Job Description :   The Payroll Specialist is a key member of the payroll team responsible for ensuring the accurate and timely processing of payroll for all employees.
  • This position plays a critical role in maintaining compliance with federal, state, and local regulations, as well as company policies and internal controls.
  • As an experienced individual contributor, the Payroll Specialist will perform complex payroll functions, support audits and reconciliations, and serve as a subject-matter expert on payroll practices and systems.
  • The role requires exceptional attention to detail, confidentiality, and collaboration with HR and Finance to ensure data accuracy and operational efficiency.

    • Essential Duties and Responsibilities :

  • Process and review payrolls for all employees accurately and on schedule, in compliance with applicable laws and company policies.
  • Audit payroll data for accuracy, including earnings, deductions, benefits, and tax withholdings.
  • Ensure all payroll transactions are properly authorized and documented, maintaining adherence to internal control procedures.
  • Research and resolve payroll discrepancies and respond promptly to employee inquiries.
  • Collaborate with HR and Finance to ensure employee data and compensation changes are accurate and updated in the payroll system.
  • Reconcile payroll reports and prepare summaries for management review.
  • Maintain confidentiality of sensitive payroll and employee information at all times.
  • Stay current with payroll laws, tax regulations, and system enhancements, recommending process improvements when appropriate.

    • Support internal and external audits by providing documentation and analysis as needed Competencies :

  • Exceptional attention to detail and analytical ability to identify and resolve discrepancies.
  • Strong understanding of payroll regulations and compliance standards.
  • Effective communication and customer service skills when addressing employee inquiries.
  • Ability to manage multiple priorities under tight deadlines while maintaining accuracy.
  • High ethical standards and discretion in handling confidential employee data.
  • Proficiency in payroll software and Microsoft Office Suite.

    • Experience and Requirements :

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Minimum of 5 years of experience in payroll processing and payroll administration.
  • Strong knowledge of payroll laws, wage and hour regulations, and compliance requirements (federal, state, and local).
  • Certified Payroll Professional (CPP) designation.
  • Experience with payroll software and systems such as ADP, Paychex, or UKG.
  • Experience with multi-state payroll processing.
  • Strong Excel and data analysis skills.
