POSITION : Grants Office Coordinator (Temporary, Subject to Funding)
Description of Duties :
Responsible for providing administrative, technical, and operation support for the Rose State College Grants Office. This position plays a key role in advancing sponsored programs, grant compliance, and college-wide initiatives by assisting with daily operations, procurement, reporting, and coordination of grant-funded projects. This position is contingent upon the availability of external and / or grant funding. The Grants Office Coordinator will perform a wide variety of tasks to support both grant-specific and general office functions, including but not limited to : Prepare and process purchase orders, supply orders, travel authorizations, reimbursements, and related procurement for grant-funded activities. Maintain inventory records and oversee tracking of equipment and supplies purchased through grants. Collect and verify timesheets and effort reports, ensuring all required signatures and approvals are obtained before processing. Serve as the designated Sponsored Projects Office (SPO) Coordinator for the NSF EPIIC grant, providing leadership and support in grant development, management, and compliance; coordinating faculty training and mentoring; and fostering external partnerships that advance sponsored project initiatives. Monitor post-award grant budgets, expenditures, and reporting deadlines using tracking systems, spreadsheets, and institutional tools. Assist in identifying funding opportunities and support award proposal preparation, including budgets, budget justifications, narratives, compliance documentation, and submissions. Maintain organized files, records, and databases of active and pending grants in accordance with College and funding agency requirements. Promote awareness of grant opportunities and resources available to the College community. Assist in the development, maintenance, and use of grant assessment and evaluation tools to track project outcomes, performance metrics, and compliance requirements. Support campus events, outreach activities, and community engagement efforts related to grants and sponsored programs. Assist with communications, presentations, or workshops that promote grant-funded initiatives. Perform other duties as assigned that support the objectives of the Grants Office and Rose State College.
Minimum Qualifications :
Bachelor's degree, or an equivalent combination of education and professional experience. At least two (2) years of experience in higher education, business administration, project coordination, or sponsored programs support. Strong organizational skills with attention to detail and the ability to manage multiple priorities under deadlines. Excellent oral and written communication skills. Proven ability to work both independently and collaboratively with faculty, staff, administrators, and external partners. Familiarity with instructional platforms (e.g., Canvas) and project management tools (e.g., Monday.com), with the capacity to learn and apply new technologies in support of grants administration and faculty / staff engagement. Lifting up to 50 lbs. and carrying up to 30 lbs. required. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending, and stooping.
Desired Qualifications :
Master's degree in education, business administration, public administration, nonprofit management, or a related field. Experience in grant administration, compliance, and / or sponsored program operations. Knowledge of federal and state grant guidelines, procurement processes, and reporting requirements. Experience coordinating workshops, trainings, or public-facing events. Experience with budget development, financial tracking, and data analysis. Familiarity with Microsoft Office Suite and enterprise systems such as Oracle. Familiarity with timesheet collection and time and effort reporting. Familiarity with local and state educational policies and programs. Familiarity with higher education or nonprofit environments, particularly in workforce development, academic affairs, or applied research.
