About the Role
We are seeking a highly organized, proactive, and professional Executive Administrative Assistant to support our senior leadership team and manage front desk operations at our Browns Summit facility. This role combines executive-level administrative support with office coordination responsibilities , requiring exceptional communication skills, attention to detail, and the ability to handle confidential information with discretion.
Key Responsibilities
Executive Administrative Support
- Manage complex calendars and schedules for C-suite and VP-level executives.
- Draft and edit executive reports, presentations, and correspondence.
- Screen and manage phone calls, emails, and messages.
- Coordinate domestic and international travel arrangements.
- Prepare and submit expense reports (e.g., Concur or similar systems).
- Organize meetings, prepare agendas, and document meeting minutes.
- Maintain strict confidentiality on sensitive matters.
Front Desk & Office Coordination
Greet and assist visitors, vendors, and employees professionally.Manage incoming calls, mail, and deliveries.Oversee visitor access and security protocols.Maintain a clean and organized reception and office environment.Support office needs such as meeting room setup, catering, and supplies.A ccounts Payable / Accounts Receivable Support
Assist with AP / AR tasks including invoice coding and data entry.Track outstanding payments and vendor invoices.Reconcile expenses and vendor statements.Support monthly financial close processes and maintain accurate records.QualificationsEducation :
Bachelor’s degree or equivalent experience (preferred).Experience : 5+ years supporting C-suite or VP-level executives.
Technical Skills :
Advanced Microsoft Excel (pivot tables, VLOOKUP, formulas).Proficient in Microsoft Office Suite (Word, Outlook, PowerPoint).Other Skills :
Strong organizational and multitasking abilities.Excellent written and verbal communication skills.Professional demeanor and ability to maintain confidentiality.Preferred Qualifications
Experience preparing executive-level reports and board materials.Familiarity with Microsoft Teams, SharePoint, or similar tools.Background in AP / AR processes or financial systems.Experience in a fast-paced, high-confidentiality corporate environment.
