Administrative Assistant For Police Jail Operations
Salary : $20.46 - $25.57
Job Summary : Under general supervision, provides administrative assistance to Municipal Courts, County Courts, and jail operations. Performs office and clerical duties in support of Uniformed and / or sworn duty personnel. Performs paperwork entry, timekeeping, and Law Enforcement database system entries and updates in accordance with federal, state, and local laws as well as Department policy and guidelines.
Essential Job Functions :
- Performs a variety of administrative checks including but not limited to : Driver's License checks / verification, Criminal history / background checks, Warrant checks / verification.
- General office duties, including but not limited to : Scanning, Copying, Filing and file organization, appointment management.
- Receives in phone calls and communications from the general public and assists in a professional and respectful manner in accordance with the Department Policies and guidelines.
- Acts as the primary point of contact for the Jail in a courteous and professional manner on topics including but not limited to : Processing Payments for citations, fines, fees, court costs, etc. Communicating persons holding status and / or release procedures with potentially adversarial customers on the phone and in person. Processing Jail Inmate property by verifying, cross-checking, and documenting all items before release.
- Manages county and city court arraignments by : Preparing forms. Setting up dockets. Updating and finalizing appearance times and locations. Send Administrative messages to other jurisdictions for warrant pick-ups or bond information. Mailing out county bonds to Tarrant County Magistrate office. Sends out fingerprint records, Incident Tracking Numbers (TRN), and DPS Criminal History Reporting form (CR-43) to the appropriate parties. Training duties to new assistants and Jail officers, including but not limited to : Administrative duties. Jail Control Systems. Radio Operation. Jail policy, procedure, and guidelines. Notary public functions, including but not limited to : Affidavits. Sworn Statements. Jail Control and Monitoring systems to ensure the safety and security of the Jail, including but not limited to : Radio communication with Detention officers. Operate and monitor the secured door system. Operate and monitor the Camera systems.
Minimum Qualifications : Knowledge, Skills and Abilities Required :
Knowledge of office and administrative practices and procedures.Skill in using PC Software including current Microsoft Office Suite of applications.Skill in communicating professionally with city employees and the public by oral and written means.Skill with organization and attention to detail.Ability to exercise discretion and independent judgment utilizing knowledge of the organization's policies.Ability to work independently under general instructions.Ability to perform a variety of physical skills including but not limited to filing, pulling, seeing, sorting, squatting, standing, stooping, twisting body, typing, walking, and writing.Ability to operate office equipment including but not limited to PC, telephone, calculator, scanner, and copier.Ability to prioritize deadlines and tasks.Ability to learn new systems and procedures quickly.Ability to plan, organize, and collaborate with internal and external stakeholders to accomplish unit objectives.Ability to understand mathematical calculations involving fractions, percentages, and decimals.Ability to work within a set schedule.Ability to research and analyze information to identify trends and patterns.Ability to maintain confidentiality and work with sensitive information.Ability to de-escalate potentially adversarial situations.Qualifying Education and Experience :
High school diploma or equivalent required.Two (2) years of experience in a clerical or administrative support role.One (1) year Cashiering experience, concurrently or consecutively.Preferred Qualifications :
Knowledge of Jail operations and procedures.Knowledge of Court procedures and rules.Knowledge of Federal, state, and local laws and regulations, particularly those related to open records requests and privacy.Knowledge of Department policies and guidelines.Education and Experience that is a plus but not required :College coursework in Criminal Justice, Law Enforcement Administration, or related field a plus.Experience in a law enforcement or legal setting.Experience with data entry, timekeeping, and database management.Experience with performing administrative checks, such as driver's license verification and background checks.Notary public certification preferred, or the ability to obtain within 6 months.Employment Screenings Required :
