Title : Development Coordinator, Curatorial Affairs

Reports To : Senior Development Officer, Curatorial Affairs

Pay Type : Full-Time, Regular, Non-Exempt, 35 hrs / week

Salary : Commensurate with Experience and Education

This position works at the direction of the Senior Development Officer, Curatorial Affairs.

The Development Coordinator for Curatorial Affairs serves as invaluable support to the Development department at large and the Curatorial Affairs team of two, that manages eight Museum of Fine Arts, Houston, Patron Groups (i.e., Latin Maecenas, Friends of Asian Art, Art + Paper, contemporary@mfah, etc.) with over 300 donor households, and executes over 50 events a year.

Event related duties include but are not limited to :

  • Coordinate vendors such as catering, photography, entertainment, dcor, rentals, audio-visual, etc.
  • Coordinate event logistics and timeline
  • Develop and maintain event budgets
  • Create layouts and update during the planning process
  • Compile guest lists and invitation lists from multiple sources
  • Maintain RSVPs for events
  • Work with other key departments to plan and execute all facets of events, and to ensure smooth functioning of events from inception to completion
  • Coordinate and manage the flow of the event and the guest experience
  • Coordinate "behind the scenes" activities during the event : observe and assist with guest arrival process, adjust seating / tables and troubleshoot as necessary, coordinate with caterer and beverage staff, ensure event flows smoothly and runs on time, etc.
  • Provide on-site support for front-line staff at the event
  • Troubleshoot problems as they arise, both before, during, and after events
  • Field event questions and phone calls; miscellaneous errand running as needed
  • Ensure timely submission of invoices, tracks and adheres to budgets for assigned events

Other primary duties include but are not limited to :

  • Provides administrative support for the Senior Development Officer, Curatorial Affairs, including scheduling, preparing meeting materials answering phone, etc.
  • Assists with day-to-day communication with patron group members
  • On an ongoing basis liaises with curators and members of the curatorial staff
  • Coordinates renewal and acknowledgement letters, invoices and other correspondence to members
  • Maintains patron group prospect pipeline
  • Assists Senior Development Officer, Curatorial Affairs with Museum donor travel activities
  • Other duties as assigned by Development Officer, Curatorial Affairs, and Chief Development Officer
  • Skills, Knowledge and Abilities :

  • Meticulous attention to detail and follow-through with strong organizational skills
  • Must be highly motivated
  • Must be able to work independently but also within a close team environment
  • Must have a high degree of creativity
  • Word processing skills (Microsoft Word / Excel / Outlook) are essential
  • Experience with museum software systems (A / X, Tessitura, EMS) ideal
  • Must have strong verbal and written communications skills
  • Commitment to routinely go above and beyond expectations
  • Sound judgment and decision making
  • Strong project management skills
  • Must be able to work nights and weekends, as needed
  • Must have a high level of energy with the ability to work under pressure, meet deadlines, achieve goals, prioritize tasks, memory recall, and manage multiple tasks while working within a budget
  • Must have strong interpersonal skills with an ability to work with a variety of people with a high level of tact and diplomacy
  • Must be able to lift 40 lbs
  • Education and Experience :

  • Undergraduate degree in related field preferred OR an equivalent combination of experience and education from which comparable and demonstrable knowledge, skills and abilities have been achieved
  • Museum experience is desirable
  • Three or more years in fundraising or event planning and implementation is preferred
  • Proven track record in special events planning and implementation and / or project management
  • Experience providing programs of excellence and outstanding customer service
  • Experience working in an office environment required
  • Working Conditions and Physical Demands :

    Work will be performed in varied and wide-ranging indoor and outdoor environments and conditions. Physical demands will also vary. Work may involve extended sitting and computer use. Evening and weekend work (with pay) may also be required during certain events.
