TopFlite is seeking a Sales & Purchasing Support Specialist who will be the primary interface between customers and the internal organization during the sales process as their primary duty with secondary support for the purchasing department. The Sales & Purchasing Support role will support the sales team with new and existing accounts and orders, and be able to effectively communicate the status of the daily work schedule with internal and external teams. It will require working cross functionally to get updates and ensure follow-through. Strict attention to detail is required to ensure customer satisfaction. The role will also support various purchasing tasks assigned by the Purchasing Manager including material quoting, purchase order generation, freight and customs document review and calculation verifications, forwarding purchase orders to vendors, monitoring and expediting purchase orders as required. The Sales & Purchasing Support specialist will report directly to the VP

  • Support sales team with new and existing accounts, obtain orders, and establish new accounts by planning and organizing daily work schedulesto call on existing or potential sales.
  • Manage incoming calls
  • Process Incoming and outgoing quotes
  • Submits pricing requests to the sales manager
  • Submits orders to sales manager for review and approval.
  • Place or cancel orders in ERP system
  • Support customer request for information
  • Submits RMA requests to QA Manager & Sales Team
  • Provides approved RMA’s to customers
  • Resolves customer complaints by investigating problems; developing solutions; preparing reports; making recommendations to management.
  • Keep records of customer interactions, process customer accounts and file documents
  • Compile reports on overall customer satisfaction.
  • Prepares purchase orders by verifying specifications and price, obtains approval from Purchasing Manager to place order
  • Obtains purchased items by forwarding orders to suppliers, monitoring and expediting orders.
  • Verifies receipt of items and tariff / customs duties to confirm proper amounts have been calculated
  • Transmits results of tariff / customs verifications and rates to the finance department.
  • Keeps information accessible by sorting and filing documentation.
  • Contributes to team effort by accomplishing related results as needed.
