Position Summary

The HR Assistant will support the Human Resources Department by performing administrative tasks, coordinating onboarding activities, and ensuring accurate HR data management. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. In addition to HR support, this position will also oversee office coordination and facility tasks for one of the companys buildings, ensuring smooth day-to-day operations.

Key Responsibilities

HRIS & Audits

  • Conduct regular HRIS data audits to ensure accuracy and compliance.
  • Generate and analyze HRIS reports (headcount, turnover, PTO, compliance metrics, etc.) as requested by HR leadership.
  • Perform company-wide audits on employee records, certifications, training completion, and compliance requirements.

Onboarding & Training Coordination

  • Assign and track mandatory new hire trainings prior to start dates (e.g., safety, compliance, role-specific modules).
  • Follow up with new hires to ensure timely completion of onboarding documentation in HR systems (e.g., I-9, direct deposit, benefit elections).
  • Prepare and distribute new hire welcome materials.
  • Partner with managers to ensure new hires have the tools and resources needed for success.
  • Benefits Administration Support

  • Assist with benefits enrollment coordination during onboarding and open enrollment periods.
  • Respond to employee questions related to benefits and direct to appropriate vendor or HR partner when necessary.
  • Track and maintain accurate benefit records within HRIS.
  • Administrative & HR Support

  • Maintain and update the company phone directory and employee contact lists.
  • Support employee engagement initiatives and HR communications.
  • Provide administrative support including file management, scheduling, and correspondence.
  • Assist in preparing HR reports, presentations, and compliance documentation.
  • Office Coordination (Building Support)

  • Serve as primary point of contact for day-to-day office administration at assigned building.
  • Oversee office supply inventory, vendor coordination, and facility-related requests (maintenance, cleaning, equipment service).
  • Assist with mail distribution, filing, scanning and general clerical tasks
  • Coordinate building access, and visitor management.
  • Support the planning and logistics of on-site employee meetings, orientations, and training sessions.
  • Ensure the office environment remains professional, safe, and well-maintained.
  • Other duties as assigned.
  • Qualifications

  • 12 years of experience in HR administration, office administration, or related support role preferred.
  • Familiarity with HRIS systems (e.g., BambooHR, ADP, Paycom) and proficiency in pulling / formatting reports.
  • Strong organizational skills and ability to manage multiple priorities across HR and office functions.
  • High attention to detail with excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
