The Business Operations Coordinator plays a key supporting role in ensuring smooth day-to-day office operations, efficient administrative systems, and high-quality support for internal teams. Reporting to the Senior Manager of Business Operations, this individual helps maintain effective workflows across departments, assists in vendor and facilities coordination, supports budgeting tasks, and contributes to internal communication and event planning. The ideal candidate is organized, proactive, tech-savvy, and eager to collaborate with teams to enhance the overall employee and operational experience.

Essential Functions :

  • Operational Support : Assist in maintaining office systems, supply procurement, equipment tracking, and vendor coordination to ensure smooth daily operations.
  • Workplace Organization : Maintain the tidiness and organization of the office building, including but not limited to conference rooms, common areas, and shared workspaces.
  • Cross-Functional Collaboration : Partner with HR, Finance, and departmental leads to provide administrative and logistical support on projects, processes, and organizational initiatives.
  • Executive & Team Assistance : Support calendar management, travel planning (domestic and international), meeting coordination, and executive correspondence as needed.
  • Reporting & Documentation : Assist with budget tracking, expense reconciliation, invoice processing, and preparation of simple reports or dashboards for leadership.
  • Inventory Tracking : Label, track, and monitor all systems and equipment, maintaining accurate records in asset databases and spreadsheets to ensure proper inventory management.
  • Internal Communications : Help draft internal announcements, maintain office directories and calendars, and support communication for office-wide initiatives.
  • External Communications : Answer incoming phone calls promptly, provide helpful information, and route calls or take messages as needed while maintaining a professional and friendly demeanor.
  • Employee Experience : Contribute to a positive and organized work environment by supporting office culture programs, wellness events, and onboarding logistics.
  • Event Coordination : Provide logistical support for all company events, including but not limited to running local errands for supplies, catering, and last-minute needs; facilitating event setup and teardown; and ensuring smooth on-site execution through proactive problem-solving and coordination with vendors and internal teams.
  • Technology & Systems : Maintain organized digital filing systems using Microsoft Office Suite and collaboration platforms such as Teams and Zoom.

Qualifications and Requirements :

  • Education : Associate’s degree in Business Administration, Operations, Communications, or a related field—or equivalent relevant experience.
  • Experience : 2+ years in an administrative, operations, or executive support role; experience in a fast-paced office setting preferred.
  • Transportation : Valid driver’s license and dependable means of transportation are required for this position.
  • Physical Requirements : Ability to lift, carry, and move objects weighing up to 25 pounds is essential for this position.
  • Technical Proficiency : Intermediate to advanced skills in Microsoft Office Suite (especially Outlook, Excel, PowerPoint); familiarity with tools like Zoom, SharePoint, and Microsoft Teams.
