Fitness & Recreation Administrative Asst. The Fitness & Recreation Administrative Assistant is responsible for coordinating and maintaining all schedules, including facility schedules, graduate assistant and student employee work assignments, as well as scheduling Fitness & Recreation staff coverage for campus events. This role provides essential clerical and administrative support to the Fitness & Recreation Manager, ensuring accurate recordkeeping, communication, and departmental efficiency. In addition, the Administrative Assistant assists the Fitness & Recreation staff as needed, serving as manager on duty during evening and weekend shifts as a Team Lead, addressing immediate needs, and ensuring a safe and positive environment for staff and participants.
Schedule Work Assignments
Responsible for coordinating Fitness & Recreation student employees throughout all academic terms, summers and during special events, ensuring schedules, staffing, and supervision meet the operational needs of the department. The administrative assistant serves as a point of communication between student staff and event organizers, providing guidance to maintain consistency, professionalism, and a positive experience for both employees and participants.
Provide Clerical Support
This position is responsible for maintaining organized tickler files and other recordkeeping systems to ensure deadlines, follow-up tasks, and recurring responsibilities are tracked and completed in a timely manner. In addition, this position provides administrative and operational support to the Fitness & Recreation Manager by assisting with a variety of tasks and special projects as needed, contributing to the overall efficiency and effectiveness of departmental activities.
Coordinate Fitness & Recreation Activities for Campus Events
This position is responsible for researching and gathering information to develop accurate and efficient work schedules for Fitness & Recreation operations during major campus events. Duties include coordinating with event organizers and departmental staff to determine staffing needs, timelines, and logistical requirements, then preparing clear schedules that align student employees and resources with those demands. The role also ensures that finalized schedules and related information are communicated and distributed in a timely manner to all staff and student workers.
Purchasing
Completing departmental purchasing needs by ordering supplies, equipment, and other items for the Fitness & Recreation department and entering into Workday finance. Responsibilities include identifying and verifying purchasing requirements, preparing and submitting requisitions, monitoring order status, and ensuring the timely delivery of materials to support daily operations and special events. The role also involves maintaining accurate purchasing records, reconciling orders with invoices, and adhering to institutional purchasing policies and budget guidelines to ensure compliance and cost-effectiveness.
