Job Summary :
Supports publication operations through coordination and stakeholder management across key stages of publication operations. Assists in administration and maintenance of publication projects by managing systems, tracking progress, and assisting in publication submissions management. Owns publication management tasks assigned by the lead / manager and executes them end-to-end per SOPs.
Job Description
- The Service Provider will support publication teams with management of the client user database (PubStrat MAX, DataVision / iEnvision, PubsHUB) and record updates for appropriate groups / categories of publications
- Create records based on details provided by pub owners and from Publication Planning Committee minutes of meetings
- Ensure all required fields are entered during the publication development cycle
- Follow-up for information to be filled in missing fields
- Send back inputs, if any, to the pub owner
- Update dates and steps per the publication plan as the publication progresses in the workflow
- Proactively follow up with owners of publications where updates are missing
- Add / remove internal and external users; for internal and agency users, this also involves requesting an SSO setup from IT
- Set up author agreements for relevant publications using the client DocuSign account
- Organize and route for final Company Review in PubStrat MAX / DataVision / iEnvision, PubsHUB; follow up with reviewers and send comments back; in case of absence of assigned reviewers, route files to the backup reviewer
- Manage system mailbox and keep the mailer and response templates updated; manage calendar and OOO as needed for all stakeholders
- Escalate compliance issues and exceptions, as identified
- Flag instances of non-compliance or process risks to relevant stakeholders / departments as needed
- Upload final versions and metadata to the publication archive for appropriate groups / categories of publications
- Generate metrics and reports on publication status at region / TA / product level to assist governance and planning
- Understand and keep updated on processes, compliance updates, best practices, and systems; guide others as needed
- Ensure publication plans (global / regional) are up-to-date and reflect current status
- Organize and conduct meetings with publication leads and planning teams to provide updates and support
- Capture key notes from meetings and manage plan updates as needed
- Take down action items for leads and publication stakeholders; distribute notes using MS TEAMS
- Facilitate and assist in process update roll-out plans and participate in training, change management
- Answer compliance queries related to SOPs and guidance documents; send process guidance mailers; schedule, track, and facilitate trainings; complete required internal training on time
