SUMMARY : Provides clerical, secretarial and receptionist support for the PT Department, independently and with minimum supervision. As needed, prepares equipment for treatment; performs housekeeping duties of department and assists the physical therapist and physical therapy assistant.
ESSENTIAL FUNCTIONS :
- Checks and verifies all registrations for department.
- Confirms insurance coverage (Private, Medicare, Medi-Cal, CMSP, CCS and Workers' Comp) of all therapy patients on a daily & monthly basis.
- Submits all requests for authorizations and extensions for all necessary insurances. Documents receipt of all authorizations in appropriate computer systems. Relays information and response detail to Patient Accounting Department.
- Oversees Treatment Authorization Requests (TARS) processing. Processes weekly, requests for approval of Medi-Cal patient services.
- Assist with completion of Medicare Certifications and Ancillary Medicare Certifications. Relays information and response detail to Patient Accounting Department.
- Maintains cap of total dollar amount / visit for all Medicare patients.
- Weekly maintenance and review of department billing records and patient charts. Computes statistics per day, week, month and year.
- Inputs monthly documentation of patient information into computer system. (Drops Child Accts from PSC & documents first DOS in Affinity account per Patient Accounting Departments request.)
- Discharge active accounts in system once patient's treatment is completed.
- Mails and / or faxes evaluations, progress reports, and requests to physicians, NCM, WC and other necessary entities.
- Assists with coding & billing issues when necessary.
- Assist with patient registration.
- Schedules patients' appointments & PT meetings / in-services.
- Takes notes for monthly staff meeting.
- Maintains monthly and yearly logbooks for department.
- Schedules and maintains work schedule for department.
OTHER RESPONSIBILITIES :
1. Maintains office equipment, cleanliness of waiting room and work station.
2. Aids in the treatment, care and safety of patients.
3. Assists in gait training and simple exercises.
4. Cross trains staff members to various department duties as necessary.
5. Prepares patients and equipment for treatment and assists therapist in apply non-technical
modalities, such as hot packs.
6. Performs other duties as assigned.
KNOWLEDGE, SKILLS, ABILITIES, AND EXPERIENCE :
High school graduate or equivalent experience.Some knowledge of medical terminology is desirable.Prefer some medical / clerical experience in a hospital, physical therapy department / facility, nursing home or rehab agency.Some working knowledge of Excel.LICENSES AND CERTIFICATIONS REQUIRED :
Current American Heart Association BLS certification.AGE OF POPULATION SERVED :

PHYSICAL / MENTAL REQUIREMENTS :
Must be able to follow oral and written instructions.Must be able to organize workload to determine priority.Must have coordination and mobility to assist with various applications of procedures and ability to handle the tools and equipment of the profession.Must have sufficient arm and hand movement with dexterity of finger and wrist to type at the speed of at least 35 wpm with accuracy.
