Job Summary :
We are seeking a detail-oriented and organized Administrative Assistant / Bookkeeper to support daily office operations for our home construction and remodeling business. This individual will handle administrative tasks, maintain accurate financial records, and assist with accounts payable, accounts receivable, and general bookkeeping duties. The ideal candidate will be dependable, proactive, and comfortable working in a fast-paced environment that supports multiple job sites and ongoing projects.
Key Responsibilities (including but not limited to) :
Perform day-to-day administrative and clerical tasks to support office operations
Maintain accurate bookkeeping records, ledgers, and financial reports
Process and record accounts payable and accounts receivable transactions
Prepare invoices, track payments, and follow up on outstanding balances
Reconcile bank statements and credit card transactions
Assist with payroll preparation and job cost tracking
Manage purchase orders, vendor statements, and expense reports
Maintain organized filing systems (digital and physical) for invoices, contracts, and project documents
Support project managers and leadership with administrative needs and scheduling
Communicate professionally with clients, vendors, and subcontractors
Ensure compliance with company policies and confidentiality standards
Qualifications :
Previous experience in administrative and bookkeeping roles (construction or trades industry preferred)
Proficiency with QuickBooks or similar accounting software
Strong Excel and general computer skills
Excellent attention to detail and organizational skills
Strong communication and problem-solving abilities
Ability to multitask and prioritize effectively in a busy office environment
