Responsibilities :
- Manage incoming calls on a multi-line phone system, ensuring prompt and efficient responses.
- Greet and assist visitors, creating a welcoming and organized front office environment.
- Schedule and coordinate tasks and appointments to support team operations.
- Maintain accurate records and filing systems for correspondence and reports.
- Draft and prepare documents, including emails and reports, as needed.
- Monitor and track customer satisfaction activities to enhance client relationships.
- Provide administrative support to ensure smooth office workflows.
- Assist with general office duties, including organizing files and handling correspondence.
- Facilitate communication between team members and clients to ensure seamless interactions.
- Proven experience in receptionist or administrative roles.
- Proficiency in managing multi-line phone systems and switchboards with 1-10 lines.
- Strong interpersonal skills to handle inbound calls and greet visitors effectively.
- Excellent organizational abilities to manage scheduling and filing tasks.
- Competence in drafting and preparing detailed and accurate correspondence and reports.
- Ability to work part-time hours with flexibility.
- Strong attention to detail and a proactive approach to problem-solving.
- Familiarity with customer satisfaction tracking and related activities.
