ABOUT THE ROLE

Responsible for managing the daily environmental, office, and event support operations for the interior and exterior of facilities across all sites. Oversee the Office Services, Environmental Services, and Event Support teams, provide leadership and mentoring to three direct reports : Facilities Operations Assistant Manager, Facilities Operations Lead, and Facilities Operations Associate.

Responsibilities will include the following, but are not limited to : General Management

  • Responsible for the implementation of Office Services, Environmental Services, and Event Support work across all sites
  • Oversee a 24 / 7 operation that works in three shifts, 1st (Day Shift), 2nd, and 3rd (Overnight Shift)
  • Plan, organize, and communicate staff work schedules and projects
  • Evaluate progress of work for completeness, accuracy, and conformance to standards and specifications with ongoing review and shift audits
  • Perform annual performance dialogues as well as coaching, training, and opportunities for growth
  • Collaborate with internal and external stakeholders towards the successful completion of projects and delivery of day-to-day needs
  • Work with Director of Facilities to determine priorities for maintenance and service activities
  • Perform periodic site visits with Director of Facilities
  • Supervise Office Services and Environmental Services and Event Support staff across all sites and shifts
  • Schedule and oversee contracted services for office services, building maintenance, and environmental services, including pest control, paint contractors, and exterior upkeep third party vendors
  • Inspect contracted maintenance work for conformance with plan agreements and resolve disputes between the department and contractors
  • As needed, personally performing any of the Facilities, Office Services, and Environmental Services duties
  • Partner with supervisor on office space planning needs
  • Inspect appearance and cleanliness of areas after job completion
  • Repair and maintain Facilities FF&E, custodial equipment, and maintain stock of parts
  • Develop cleaning equipment service requirements and plans
  • Contribute to the establishment of service and operations standards with a focus on consistent superior performance and cross-functional collaboration
  • Work with colleagues to make effective business decisions to achieve goals and maximize efficacy
  • Implement and monitor policies and procedures
  • Provide technical assistance and training to staff

Budgeting

  • Participate in annual operating and capital budget processes, including five-year projections
  • Prepare and administer the department budget in assigned area of responsibility
  • Workforce planning and annual staff requirements
  • Other Duties

  • Contribute to an institutional focus of delivering exceptional, welcoming, and inclusive customer service—creating positive, meaningful experiences for all visitors, every time
  • Participate in institutional learning opportunities to grow our collective understanding and integration of antiracism, cultural competency, and equity values into SAM’s work
  • FSLA STATUS : Full Time, Exempt

    REPORTS TO : Director of Facilities

    COMPENSATION : $94,000

    BENEFITS

    Benefits include a fully employer paid HMP medical plan or an employee contribution PPO plan, dental, vision, and basic life insurance / LTD / AD&D, Flexible Spending Account, Short Term Disability, Supplemental Dental Insurance and participation in SAM’s 403b retirement plan.

    Following 1 year of service and 1,000 hours worked, SAM makes a discretionary 3% employer contribution regardless of participation and provides an employer match program. Historically, this contribution has been made annually.

    Additional benefits include paid time off for vacation, PSST, bereavement leave, and jury duty, 11 scheduled holidays, 1 paid floating holiday, a subsidized unlimited Orca card, onsite fitness facility, and an EAP. FT Staff also receive a Patron level membership to SAM, a Tier III membership to the American Alliance of Museums and discounts to museum shop and programming.

    Required Qualifications

  • Post-secondary education or training, or the equivalent combination of education and experience
  • Five to Seven years’ relevant experience in facilities operations and environmental services, including a minimum of three years in a people management capacity
  • Strong management and supervisory skills; ability to motivate teams and simultaneously manage several projects
  • Demonstrated ability to establish and maintain effective relationships with executives, management, employees, and the public
  • Proactive, strategic, and professional verbal and written communication, with an ability to tailor communications according to audience
  • Successfully assess priorities and work well with deadlines, exceptional time management, problem solving, and analytical skills
  • Orientation towards customer service
  • Highly organized, adept at self-initiation and working with autonomy
  • Experience planning, organizing and managing proactive, reactive, and preventative maintenance programs in a large commercial or institutional setting
  • Exercise discretion in maintaining confidentiality of sensitive information
  • Ability to maintain and operate environmental services equipment
  • Environmental services and housekeeping skills
  • Working knowledge of cleaning and maintaining finishes and furnishings, including chemical treatment
  • Experience in managing planning and decision-making processes
  • Be proficient in, or willing to train in First Aid, AED and CPR
  • Ability to write clear and understandable maintenance task procedures
  • Experience in managing vendors and outsourced relationships
  • Ability to exercise sound judgment and common sense in handling emergencies
  • Strong project management skills related to complex facilities operations
  • Excellent planning, financial management, and organizational skills
  • Strong track record in exercising sound, timely judgment
  • Proficiency in Microsoft Office Suite, Zoom, Asana, Slack and internet-based research
  • Ability to pass and maintain security background check clearance
  • Preferred Qualifications

  • Bachelors (BA) or Associate’s degree (AA) or other advanced educational credentials
  • Seven plus (7+) years as an experienced people manager and mentor overseeing a large and highly diverse workforce
  • Experience in a cultural institution or museum
  • Knowledge of minor electrical, mechanical, and plumbing repair work
  • WORK CONDITIONS

    Exposure : Work areas are primarily inside, in a climate-controlled environment with moderate background noise. Workspaces may include outdoor areas. Position involves working with hazardous chemicals and cleaning agents.

    Stationary Work :   Approximately 60% of time is spent stationary while working at a desk. Balance of time (approximately 40%) is spent moving around the work area. Occasional extended periods of standing may be required when assisting at Museum events.

    Communication :   Clear and effective verbal and written communication in English with trustees, the public, and co-workers is necessary.

    Vision :   Ability to effectively use a computer screen and interpret printed materials, memos and other appropriate paperwork.

    Office Work :   Ability to effectively and regularly operate a computer, keyboard, telephone, and other office productivity machinery, such as copy machines and printers, and ability to inspect, prepare and use paperwork, files, equipment, and supplies is necessary.
