Job description

Administrative Assistant II

Responsible for providing administrative and clerical support to the Children and Family Services Manager. Monitors federal grant funds and prepares a variety of reports and documents including reimbursement requests; maintains files of a variety of records, reports, documents, and correspondence; and assists in various bookkeeping and clerical support functions. Serves as the lead administrative assistant responsible for guiding, directing, and supporting other clerical / administrative staff. Screens and handles a variety of routine inquiries independently by telephone and in person. Performs complex professional, administrative, and fiscal tasks. Work is performed under regular supervision.

Minimum Qualifications : Graduation from high school supplemented by course work in secretarial science or business practices, and three (3) years of experience in administrative or clerical work, including experience in office management; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities. Thorough knowledge of office systems, practices, and administration. Thorough knowledge in Microsoft Office Suite, including but not limited to Microsoft Outlook Word, Excel, Access, PowerPoint, and Publisher components. Thorough knowledge of basic arithmetic and financial computations to include addition, subtraction, multiplication, division, percentages, and fractions. Thorough knowledge of business English to include effective oral and written communication skills.

Supplemental Information : Requires acceptable criminal and child protective services background checks. Must possess a valid drivers license issued by the Commonwealth of Virginia with an acceptable driving record. Requires an initial physical examination to include screening for tuberculosis, and periodic re-examinations to ensure the incumbent poses no significant health risk to the participants in the Head Start Program.

Physical Demands : Must be physically able to operate a variety of automated office machines including computers, typewriters, calculators, copiers, facsimile machines, etc. Must be able to operate a motor vehicle. Sedentary work involves sitting most of the time, but may involve walking, bending, stooping, or standing for periods of time. Gripping occurs when collating materials and using office equipment. There is some lifting of packages weighing between 10 and 30 pounds. At times, it may require occasional running and crawling while interacting with children and it may be necessary to lift, handle, or carry a child weighing up to 50 pounds.
