Classification : Non-exempt / Hourly

Salary Range : $55,000 - $64,999

Location : Washington, DC

Schedule : Hybrid; 2 days onsite, 3 days remote (Special events may occur outside of regular hours)

Position Summary :

The Administrative Program Coordinator is a full-time position, working directly with the Director of DC Programming to enhance Generation Hope's internal and external effectiveness. The Administrative Program Coordinator provides administrative support for Generation Hope's Direct Services in the DC area as well as managing in-kind donations and is responsible for providing outstanding customer service, being an enthusiastic professional, and building relationships with stakeholders. Exceptional written and oral communication skills, high attention to detail, project planning, and time management are required.

Primary Responsibilities :

Administrative Support :

  • Manage the DC program's Repository of Resources by researching and connecting with potential community partners, ensuring that resources are accurate and up to date, and ensuring that the Resource Repository is organized and that Hope Coaches are trained on its utilization.
  • Draft monthly e-newsletters for Scholars and Sponsors.
  • As requested, support program staff with research on resources, college policies, government benefits, etc.
  • Post resources and information to the Scholar and Sponsor Facebook pages and manage other communication channels for Scholars and Sponsors, such as WhatsApp or Slack.
  • Ensure that Generation Hope's program databases are accurate and up to date by working with Hope Coaches to track and update any demographic changes and periodically checking and cleaning all databases to ensure accuracy. Update all Scholar event attendance in the program database.
  • Send out monthly data update emails to the program team to provide details about data that may be missing or incomplete. This includes :

Tracking case closures and ensuring that appropriate steps have been taken to close cases in the system and that appropriate paperwork is completed;

  • Tracking monthly mentoring log completion and informing Hope Coaches which Scholars and Sponsors have not completed their monthly mentoring logs;
  • Tracking monthly mentoring log completion streaks to award prizes to Scholars and Sponsors according to Generation Hope policy.
  • Support the planning and execution of events including venue outreach, catering coordination, scheduling, technical support, note taking, and pre / post emails.
  • Research and maintain information about additional scholarships that Generation Hope Scholars can apply for. Manage Generation Hope's scholarship database.
  • Lead the scholarship tuition payments process and work with the Operations team and partner colleges to ensure smooth functioning and collaboration with the Program team, including managing the monday.com tuition board and sending appropriate reminders to Hope Coaches to update.
  • Work with the Operations team to manage the Sponsor pledge form completion, tracking, and ensure that pledge forms align with planned tuition spending.
  • Maintain information about opportunities for students at Generation Hope partner colleges and update case managers.
  • Create and manage the DC Program communications calendar for Scholars and mentors.
  • Manage the logistics of all Hope Coach and DC Program team meetings, including :
  • Ensuring all tech is running smoothly (presentations, screen sharing, etc);

  • Taking and disseminating notes to ensure that staff who were not present at the meeting can access information;
  • Confirming with presenters and ensuring that they have directions to the office, calendar invitations, etc
  • Program Support :

  • Mental Health Program :
  • Track and disaggregate data related to the mental health program.

  • Research and connect with potential partners for mental health services.
  • Next Generation Academy Program :
  • Manage the Next Generation Academy's Repository of Resources by researching and connecting with potential community partners who can provide services for children, ensuring that resources are accurate and up to date, and ensuring that the Resource Repository is organized and that Hope Coaches are trained on its utilization.

  • Support the Early Childhood Manager in tracking Scholar and Resource Family engagement with Next Generation Academy requirements.
  • Recruitment :
  • Support the recruitment team in staffing community events (tabling, etc).

  • Assist with the recruitment of new Scholars and mentors, as needed.
  • Event Support :

  • Staff Generation Hope's family-friendly study area in our office two evenings per week or one evening and a Saturday or Sunday afternoon per week so that Scholars can study and use computers / printers while children play. Develop and execute a plan for engaging Scholars in utilizing the office space.
  • Attend evening or weekend events, such as Family Dinners, trainings, etc, assisting staff with facilitation, logistical support, and coordination as needed.
  • Plan and execute at least 2 "Study Halls" per year with childcare volunteers and snacks for Scholars during final exams and track attendance data.
  • Plan and execute Scholar Wishlist events twice per year, ensuring that donations are received and the event is executed to provide basic need support to Scholars.
  • In-Kind Donations :

  • Maintain an organized storage space. Take regular inventory of items in storage and discard items that are expired, not in good condition, no longer useful, etc.
  • Work with event leads to ensure that, after events, items are re-organized, cleaned (for childcare items), and returned to the storage space in a timely fashion.
  • Manage all aspects of the Fall and Spring Wishlist and holiday gifts program, including ensuring that adequate items are donated.
  • Work with in-kind donors to coordinate acceptance and drop-off of items, and to ensure that in-kind donation forms are completed accurately and in a timely manner.
  • Seek out and manage laptop donations for Scholars, including testing laptops, installing software as necessary, tracking, etc.
  • Manage and update online wish lists and ensure donors are thanked appropriately.
  • In partnership with the Community Engagement team, work with groups to organize item drives and recruit in-kind donations.
  • Other :

  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications, establishing personal networks, and participating in professional societies.

    Required Qualifications :

  • Associate's degree or equivalent combination of education and experience
  • Willingness to adjust hours to accommodate the needs and schedules of Scholars
  • Must be available for special events and trainings, which may occur on evenings and weekends
  • Excellent office and computer skills. Proficiency in Microsoft Office and Google Suites is required.
  • Preferred Qualifications :

  • Event planning experience a plus
  • Bilingual (Spanish / English) a plus
  • Communications experience (i.e. experience with Mailchimp, Canva, social media, etc.) a plus
  • Competencies :

  • Extremely organized and detail oriented; can stay on top of many projects at once.
  • Strong written communication skills

  • Physical Requirements :

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 25lbs at times.
  • Work Environment : Normal office environment. Some work will take place offsite.

    Travel :

  • This position requires regular travel for activities such as meetings, classes, and workshops in the DC Metro area. Must be able to travel (via train, car, etc) to attend trainings, conferences, project sites, and related activities.
  • Candidates must be able to meet the onsite work schedule by the start date.
