Position Summary

A prominent Financial Services firm is seeking a Facilities & Operations Associat e to support facilities operations and help strengthen reporting, budgeting, and administrative processes in a dynamic financial services environment.

This role offers a blend of hands-on facilities coordination and analytical work. The successful candidate will ensure the smooth day-to-day operation of the office while working closely with the Facilities Manager to develop and maintain reports, track budgets, and analyze operational data. It’s an excellent opportunity for someone who enjoys both the practical and technical sides of facilities management and wants to grow into more operational responsibilities.

Key Responsibilities

Facilities Operations

  • Manage and resolve daily maintenance requests through the ticketing system.
  • Coordinate workstation moves and office setups with IT and building staff.
  • Schedule and supervise vendors for repairs, maintenance, and cleaning services.
  • Support event setup and breakdown for internal and external meetings.
  • Maintain and update office floor plans using Computer Aided Facilities Management software.
  • Oversee security access, including employee IDs, guest badges, and building registration.
  • Assist with space planning, buildouts, and reconfigurations as needed.

Operational Reporting & Administrative Support

  • Partner with the Facilities Manager to track budgets, summarize maintenance spend, and compare vendor invoices to approved rates.
  • Compile and analyze data on space utilization, equipment tracking, and vendor performance.
  • Create Excel-based reports and charts to support leadership dashboards and compliance tracking.
  • Prepare PowerPoint presentations and Word documents for internal and executive reporting.
  • Recommend process improvements to streamline data management and vendor coordination.
  • Qualifications

    Required

  • Minimum 3 years of experience in facilities, office operations, or corporate services.
  • Proficiency in Microsoft Excel, PowerPoint, and Word — including PivotTables, VLOOKUP, and common formulas (SUM, AVERAGE, IF).
  • Strong communication and organizational skills with attention to detail.
  • Customer service–oriented mindset and ability to interact with all levels of staff.
  • Willingness to assist with hands-on facilities tasks (e.g., hanging whiteboards, moving desks).
  • Ability to multitask and prioritize in a fast-paced corporate environment.
  • Ability to lift up to 50 lbs as needed.
  • Preferred

  • Experience with CAFM or facilities management systems.
  • Prior exposure to budget tracking, reporting, or vendor analysis.
  • Demonstrated initiative and flexibility to take on new and evolving responsibilities.

    This role is based in the New York office and is expected to be onsite 5 days per week.
