Operations Coordinator
CASA of Larimer County (CLC) is a nonprofit organization comprised of three programs : Court Appointed Special Advocates (CASA), Family Connections (FC ) and Trust-Based Relational Intervention® (TBRI®) program. CASA provides volunteer advocacy to children involved in dependency and neglect cases and FC provides supervised visitation, safe custody exchanges, supportive case management, and parenting education. TBRI® is integrated throughout CLC's programs and provides evidence based, trauma-informed, intervention. Across all programs, our mission is to advocate for safe, nurturing, and permanent connections to family and community so children who have experienced abuse and neglect have the opportunity to thrive.

Full Time : 40 Hours / Week
PURPOSE : The Operations Coordinator plays a key role in ensuring smooth day-to-day operations of CASA of Larimer County . This position provides administrative and operational support across the organization , manages the organization's database (Neon CRM), and works closely with bookkeeping to ensure accurate tracking of donations and financial records . In addition, this role helps to create a welcoming and inclusive environment for staff, volunteers, families, and community partners by fostering positive interactions and supporting a culture of collaboration. The ideal candidate is extremely organized, detail-oriented, technology-savvy , and passionate about supporting the mission of CASA of Larimer County through effective and efficient administrative systems.
KEY RESPONSIBILITIES
Administrative and Office Support
- Serves as first point of contact during open Administrative Hours for visitors, vendors, phone calls and general inquiries
- Provides day-to-day administrative support to the Executive Director and Operations Director
- Provides support and coordination for organizational meetings (including taking minutes) , onboarding / offboarding of new employees, retreats, and special projects.
- Prepares reports, internal correspond ence, and presentations as necessary
- Maintains organized filing system for digital and physical records
- Manages internal staff communication and announcements
- Collects, distributes, and sends mail / packages
- Assists with purchasing and bidding out for services / projects as necessary
- Maintain s organized systems for building access (including distribution of keys , door codes , key fobs, etc. ) and other security processes
- Oversees setup of shared spaces such as meeting rooms and common areas
- Serves as primary point of contact for office vendors, including utilities and service providers
- Coordinates facility-related needs such as cleaning, maintenance and vendor relationships
- Ensures compliance with office safety and security protocols
CRM Management and Donation Tracking
Maintain s and manage s the Neon CRM system to ensure all donor data is entered accurate ly and in compliance with privacy and nonprofit fundraising standardsProcess es donations received via check, cash, or online transactions, ensuring timely and accurate entry into the CRMGenerate s and distribute s acknowledgements and tax receipts in a timely mannerWork s closely with bookkeeping to reconcile donations and ensure accurate financial reportingUse s CRM data to run reports, create mailing lists , and analyze data to support fundraising and development effortsSupports staff training for sufficient CRM useDevelopment and Event Support
Assists bookkeeping with donation tracking and financial documentation related to fundraising revenueSupport s Development Manager with administrative tasks related to fundraising campaigns , stewardship activities, and donor engagementSupports occasional social media content as neededProvides logistical and administrative support for fundraising and stewardship eventsCoordinates event needs such as bookings, catering, signage, staff roles, and suppliesSupports day-of event logistics to ensure smooth executionUpdates contact lists and mailing listsTechnology and Systems Support
Serves as point of contact for staff technology needs and troubleshoot minor technical issuesCoordinate s with IT partners for system upgrades , maintenance, and supportManage s organizational software and technology subscriptionsAssists with computer / 365 account onboarding and offboardingEnsures digital tools are being used effectively and consistently across the organizatio nWorks with IT partner to complete regular computer and user account auditsQUALIFICATIONS, SKILLS, AND PERSONAL QUALITIES

$21- $23 / hr ($43,680- $47,840 annually)
