Overview

The Operations Assistant will have direct contact with Clinical Staff. Regional Directors and Clinic Directors will be an area of contact for support. The Operations Assistant will interact closely with all members of the clinics, including but not limited to, telehealth team members, providers, and telehealth call center team member, to achieve excellent patient care.

Responsibilities

Essential Functions :

• Assist with entering and maintaining clinic schedules in Kronos
• Maintains clinical schedules under supervision of the manager. Assists with filling late notice call outs, planned and long-term absences.
• Assist with reviewing daily time punches and making corrections as necessary
• Completing weekly payroll audits
• Ensuring daily / weekly / monthly forms are completed and signed off
• Assist with tracking and ensuring all compliance items are completed
• Assist team in ensuring annual clinical competencies are complete and up to date
• Assist the Regional Director in finding coverage for clinic due to increases in volumes or staff call outs
• Providing an additional layer of support to clinic staff
• Assisting with new hire on-boarding and training as needed
• Responsible for check in s with new clinical staff
• Help serve as point of contact to resolve information technology, maintenance and other clinic issues.
• Assist in coaching clinical staff under the guidance of the manager.
• Responsible for learning the aspects of compliance in the company by completing all mandatory compliance training.
• The ability to maintain friendly, cordial relations with all employees.

• Demonstrates proficiency with basic PC skills to include typing, utilization of a mouse, and ability to use basic software such as MS Outlook and Word.
• Maintains the overall cleanliness of the office as needed to support the team and clinic environment, which may include, but not be limited to, taking out garbage, organization and cleanliness of desk, patient and office space and assistance with other team members to achieve a strong professional appearance for our employees, patients and visitors.
• Responsible for keeping the reception area clean and organized.
• Perform other duties as assigned by management.

Experience Requirements and Preferences

Basic Requirements :

Education : High School Diploma or its equivalent

AND

Experience : At least 3 years of healthcare experience in an administrative or management role preferred.
