Administrative Assistant - Parking Logistics

Major accountabilities include the following. Other duties may be assigned.

Prepare, execute, supervise & report purchases of equipment, supplies and / or services for the Campus Logistics Department.

  • Maintain office supply inventory and reorder points ensuring sustained stocking levels.
  • Assist with the creation and maintenance of departmental project costs and budget as determined by the Campus Logistics Manager.
  • Process off campus disposal of assets; adhering to internal procedures and those of Louisiana's Property Assistance Agency.

Process parking permits in accordance with Campus Logistics Department procedures and respond professionally to inquiries / requests from telephone, web / internet, email, or walk-in sources.

  • Provide parking quotes, information, directions, maps, and payment options to customer inquiries.
  • Activate, deactivate, monitor and report all gate control access passes within gate control access software application.
  • Issue internal customer vehicle parking stickers and hang tags, and maintain an accurate and timely internal customer pass database.
  • Manage and maintain the Campus Operations and Campus Logistics Divisions planning, operations, & personnel calendar on a daily basis to ensure that schedules are up-to-date.

  • Coordinate parking calendar with contracted dates and lots.
  • Post & code employee hours, time shifts and payroll updates in accordance with MCCNO procedures.
  • Track adherence & compliance of employees to directed training and administrative requirements.
  • Prepare and post financial and statistical reports using enterprise accounting & application software

  • Compile daily, weekly, and monthly parking statistics and revenue reports and expenses.
  • Maintain records of the department's referral customer, cooperative partner, and lease client contact list. Create service orders and apply vehicle counts, credit card payments, & check payments to them.
  • Reconcile & post daily parking point-of-sale transactions to the Event Management System.
  • Participate in Campus Operations Division audit operations.
  • Maintain an organized filing system of department records and other correspondence on a daily basis to ensure that information is disseminated and easily retrievable.

  • Maintain access system to parking lots.
  • Oversee the daily office functions of the department and assist with staff training.

    Qualifications

    Education and / or Experience

    Associate's degree or equivalent from two-year college or technical school; or one to two years related experience and / or training in a financial institution or banking industry; or equivalent combination of education and experience.

    Language Skills

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, procedure manuals, balance, and reconcile spreadsheets. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

    Mathematical Skills

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Accountings experience a must.

    Reasoning Ability

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    Computer Skills

    To perform this job successfully, an individual must have a basic proficiency in Microsoft Excel and an intermediate proficiency in Microsoft Word and Power Point.

    Other Skills and Abilities

    Prioritize and plan work activities, use time efficiently, maintain confidentiality and perform under minimal supervision.
