Job description

Senior Change Management Specialist

The Change Management Specialist supports the execution of change management programs by conducting impact assessments, performing stakeholder analyses, drafting communications, and creating basic training materials such as quick reference guides (QRGs). This role drives successful change enablement by applying standard methodologies, collaborating with cross-functional project teams, and ensuring stakeholders are informed, prepared, and supported through change. The individual will work closely with other change management team members, project managers, and cross-functional SMEs to deliver clear, well-structured change outputs and ensure consistent execution of change practices across initiatives.

Key Responsibilities

1. Stakeholder Analysis & Impact Assessment

  • Conduct stakeholder analyses and change impact assessments using established templates and methodologies.
  • Identify affected stakeholder groups, document impacts, and outline considerations for communications and training.
  • Gather inputs from project team members and SMEs to validate assumptions, risks, and readiness needs.

2. Communications Development

  • Draft stakeholder communications such as emails, PowerPoint presentations, talking points, and printable posters.
  • Tailor messaging to audience needs, ensuring clarity, consistency, and alignment with project goals.
  • Manage feedback cycles with project teams and leaders, incorporating revisions with a focus on clarity and accuracy.
  • Support the development of communication plans, coordinate communication distribution, and track performance of communication and engagement.

3. Training & Enablement Material Creation

  • Produce concise, user-friendly QRGs, job aids, videos, and basic training resources.
  • Translate process changes and requirements into simple, actionable steps for impacted users.
  • Partner with project team members and SMEs to ensure training materials accurately reflect new processes, tools, or expectations.
  • Assist with tracking training completion, feedback, and updates as needed.

4. Stakeholder Engagement & Cross-Functional Partnership

  • Help produce and support readiness activities, including informational sessions, meetings, and training sessions.
  • Support coordination, content prep, and production of critical communication channels such as the Influencer Network and Client Services Office Hours meetings.
  • Participate in project meetings to capture updates, anticipate impacts, and communicate progress.
  • Foster strong working relationships across functions to ensure alignment and smooth change execution.

5. Project Coordination & Governance

  • Help maintain project plans, status updates, and communication and training plans to track change management deliverables.
  • Ensure all deliverables adhere to enterprise standards, templates, and branding guidelines.
  • Surface risks or challenges early to team leadership to enable proactive mitigation.

6. Continuous Improvement & Feedback Integration

  • Gather insights and feedback from stakeholders to refine change management approaches; identify opportunities to improve templates, processes, and change delivery.
  • Monitor readiness and adoption indicators and support adjustments to enablement activities.
  • Contribute to a shared library of change resources and best practices.

Qualifications & Experience

  • Bachelor's or Master's degree in Business Administration, Organizational Psychology, Change Management, Communication, or a related field.
  • 35 years of experience in management consulting, change management, project coordination, communications, or learning & development.
  • Experience supporting projects or programs in a corporate environment.
  • Strong writing and verbal communication skills; communication and/or training content design and development skills preferred (e.g., PowerPoint).
  • Hands-on "do-er" with a bias for action.
  • Highly motivated individual who takes initiative and thrives in a high-performing team environment.
  • Ability to translate technical/process information into clear, concise, user-friendly language.
  • Creative problem-solving skills.
  • Strong organization and time-management skills; able to balance multiple priorities.
  • Demonstrated ability to learn quickly, ask thoughtful questions, and collaborate well with cross-functional teams.
  • Proficiency in Microsoft 365 (Word, PowerPoint, Excel, SharePoint).
