OVERVIEW
Please note : This position requires the employee to be bilingual in English and Spanish. Multilingual in English, Spanish and American Sign Language (ASL) strongly desired. Language certification will be required.
Provides administrative support and assistance to the Manager, Office Manager, supervisors, and staff for affiliated service areas within the Migration Refugee Services, Immigration Services and Taxes Services. Performs necessary functions to facilitate agency billing and collections. Greets and assists the public as well as provides information and referrals to other agency programs as requested. Position may from time to time be stressful and require a high demand for performance. May perform other duties as assigned.
ESSENTIAL FUNCTIONS
- Provide administrative support including scheduling, correspondence, and file management for program staff
- Greet and assist the public, providing accurate information and referrals to appropriate agency programs
- Maintain accurate records and prepare reports as needed
- Coordinate communication between supervisors, staff, and external contacts
- Coordinate program or community meetings as requested, including scheduling, logistics, and follow-up
- Conduct initial client assessments for services, including gathering documentation, verifying eligibility, and assisting with application processes
- Provide in-person or remote interpretation support to clients and staff to ensure accurate and effective communication across services
- Monitor and address telephone problems, facility issues, internet access, and related functions; arrange service as requested
- Assist with various types of errands for the programs
- May drive company or personal vehicle on agency business
- Handle confidential information with discretion and professionalism
- Support office operations to ensure smooth workflow and service delivery
- Perform additional duties and other duties as assigned by management
MINIMUM REQUIREMENTS
Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources.
