Position Summary
In accordance with the Tampa Family Health Center’s policies and procedures, the Women’s Health Coordinator possesses extensive scheduling and referral authorization experience and knowledge, the ability to successfully care coordinate across departments, and the ability to navigate provider schedules and make adjustments in accordance with quality and productivity standards.
Essential Duties & Functions
- Provide support and care coordination to the Women’s Health Services department.
- Create and adjust Women’s Health Providers schedule templates in accordance with productivity standards and as needed for changes in location and / or availability.
- Ensure provider schedules are accurate and available for review by the Director of Women’s Health Services.
- Monitor provider schedules to ensure all patients are scheduled appropriately and in a timely manner.
- Managed incoming appointment requests and coordinated urgent communications in conjunction with the Women’s Health nursing team and external partners, including triage services and collaborating organizations.
- Facilitate administrative needs across the Women’s Health Services department.
- Assist with the Women’s Health Services department in achieving optimal quality, financial and performance metrics.
- Assist with Patient Engagement initiatives and actively work to improve the patient experience
- Serve as liaison between clinical, administrative staff and other ancillary services.
- Manages referrals and associated priority per the providers’ orders and patient needs for the Women’s Health Services department in conjunction with the referral department.
- Ensures timely scheduling and follow-up of specialized referral appointments (procedures, high risk appointments)
- Ensure all scheduled procedures across the Women’s Health Services department have appropriate authorization prior to the scheduled appointment.
- Serves as a resource to other care team members.
- Communicates with patients by phone and / or mail to initiate, schedule, cancel or follow-up on referrals and / or scheduled procedures.
- Alerts appropriate care team members with any issues / updates related to referrals, including updates to the referring provider.

Required Education, Certifications, Licenses, & Training
High School Diploma or equivalentAssociate’s Degree PreferredRequired Years of Experience
At least two (2) years of scheduling and / or referral management and coordinationOne (1) year of clinical practice, preferably in the specialty of Obstetrics.Required Knowledge, Skills, and / or Abilities
Bilingual (Spanish speaking preferred)Knowledgeable of all current Tampa Family Health Centers policies and proceduresKnowledgeable of managed care policies as related to referralsKnowledge of medial terminologyStrong communication skills, both written and oralAbility to navigate and enter data into an electronic health recordExceptional ability to multi-task in a fast-paced environmentExcellent computer and keyboarding skills, including familiarity with the Windows suite of applications.
