We are seeking a highly organized and experienced Office Manager to lead the administrative operations of our family medical practice. This role ensures the clinic runs smoothly day-to-day, with a strong focus on staff scheduling, payroll processing, and back-office coordination. The ideal candidate is a proactive problem-solver who thrives in a fast-paced healthcare setting and is committed to delivering exceptional support to both staff and patients.
Key Responsibilities
- Oversee daily operations to ensure the office runs efficiently and professionally
- Manage staff schedules, including providers, medical assistants, and front desk personnel
- Process biweekly payroll accurately and on time, including timekeeping and PTO tracking
- Maintain appointment calendars and coordinate patient flow to optimize provider productivity
- Collaborate with HR on hiring, onboarding, and maintaining up-to-date office policies
- Monitor office equipment and coordinate with IT for maintenance and troubleshooting
- Ensure compliance with HIPAA, OSHA, and other healthcare regulations
- Support front desk operations and assist with patient service issues as needed
Qualifications
High school diploma or GED required; associates or bachelors degree preferredMinimum 5 years of experience in medical office managementProven experience with payroll systems and back-office operationsProficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling softwareFamiliarity with Electronic Health Records (EHR) systemsExcellent communication, leadership, and organizational skillsStrong attention to detail and ability to manage multiple priorities
