Accounts Payable Specialist

Jet Excellence, LLC is looking for an Aviation Accounts Payable Specialist to add to our team. This position will be responsible for processing, verifying, and reconciling invoices and payments related to aviation operations, including aircraft maintenance, fuel, hangar, catering, crew travel, and other aviation-related expenses. This role ensures timely and accurate vendor payments while maintaining compliance with company policies, accounting standards, and aviation

regulatory requirements.

Key Responsibilities:

• Process and verify vendor invoices for accuracy, including aircraft parts, maintenance services, fuel purchases, airport fees, and other aviation expenses.

• Match purchase orders, work orders, and receiving documents to invoices.

• Enter and code invoices into the accounting system in accordance with company chart of accounts.

• Prepare and process weekly check runs, wire transfers, and ACH payments.

• Reconcile vendor statements and resolve discrepancies in a timely manner.

• Communicate with vendors, maintenance teams, and procurement staff regarding billing issues.

• Assist with month-end closing by ensuring accounts payable transactions are recorded accurately.

• Maintain organized files for invoices, payments, and vendor records.

• Support internal and external audits with requested documentation.

• Ensure compliance with aviation industry requirements (e.g., FAA, DOT, IATA billing codes, tax treatment on fuel and international fees).

Qualifications:

• High school diploma or equivalent; associate degree in accounting or related field preferred.

• 1–3 years of accounts payable or general accounting experience (aviation industry experience a plus).

• Familiarity with aviation expenses such as fuel, parts, maintenance, and airport fees is strongly preferred.

• Proficiency in accounting software (e.g., QuickBooks, Sage Intacct, or ERP systems).

• Strong attention to detail and organizational skills.

• Ability to manage multiple priorities and meet deadlines.

• Excellent communication skills for working with vendors, crew members, and internal teams.
