JOB SUMMARY :
Under the direction of Director of Finance, and in coordination with the Accounts Payable Coordinator, this position is responsible for maintaining all Housing Authority accounts payable records, ensuring timely and accurate processing of vendor payments, and supporting analysis and reconciliation of related financial data. . Work requires contact with the public. Performs other duties as assigned.
JOB DUTIES AND RESPONSIBILITIES
Uses an automated system to generate checks and charge payments to the appropriate accounts.Responsible for the preparation of EFT, ACH and some manual checks.Responsible for the preparation of weekly and end of the month reports.Maintains and sets up all vendor files.Complete Monthly Vendor Reconciliation.Assist with implementation of automation tools, vendor portals, process enhancements (e.g. PayScan, Vendor Café, Yardi updates).Maintains open communication with other departments to ensure accurate coding and payment.Maintains positive and effective communication with vendors.Ensures all vendors have an IRS Form W-9 on file with the Finance Department.Prepares vendor applications and tax-exempt forms as needed.Performs backup duties for mail processing.Performs backup duties for Accounts Receivable.Performs other related duties and responsibilities as assigned.Complies with company policies and procedures and local, state, and government regulations, and maintains a dependable attendance record.KNOWLEDGE, SKILLS, and ABILITIES :
Must have intermediate knowledge of Microsoft Excel.Ability to read, write, and carry out complex oral and written instructions.Ability to deal effectively and courteously with the public in a high-volume environment.Must possess effective oral and written communicative skills.Requires familiarity with personal computers and computer software. Knowledge of Excel, Word, e-mail, and automated accounts payable systems.Ability to work courteously and effectively with the general public.Ability to demonstrate good judgment and integrity with colleagues and staff.Ability to maintain positive working relationships and demonstrate good judgment and integrity with staff, residents, and the public.Ability to deal effectively with diverse groups and individuals.Ability to plan and organize workload.Ability to exercise good judgment in appraising situations and making decisions.Maintains confidentiality of all financial information.Utilizes supplies and equipment properly and without waste.Works in a safety conscious manner which insures that safe work practices are used in order not to pose a risk to self and others.Ability to successfully complete related training or classes as assigned by the Housing Authority.MINIMUM REQUIREMENTS
Associate's Degree in Accounting plus two (2) years of related accounts payable and bookkeeping experience. Experience may be substituted for the education.Must hold a valid Texas Driver License and maintain a satisfactory driver's record. May operate Authority vehicle while on Housing Authority business.Ability to work hours other than 8-5 in variable weather conditions and overtime as required to meet Housing Authority goals and objectives.PREFERRED EXPERIENCE
