Associate Position
The Associate provides a range of support to the Veterans Center and Office of the Registrar related services. The position coordinates and processes complex functions and contributes to the overall success of the Student Services department.
Responsibilities
General information, referral to services and Veteran's Center space
- Provide customer service to prospective and enrolled student veterans by offering an easy to access and responsive single point of contact for information regarding all student services. Support services are delivered via in person, telephone and online transactions to include email and "live chat" options. Support a regularly available and welcoming Veterans Center space for students to utilize as needed for small group meetings and collaboration, individual usage and special usage (ie computer room).
- Using existing communications methods (including the Veterans Center space), ensure that eligible and potential students are informed about their benefits, new and existing laws governing same, and veterans' services available to them. Assist veteran students with general inquiries about veteran educational benefits, institutional or partner-based veteran's activities, mechanisms for additional educational financial support (ie. FAFSA application) and provide connections to other student support service available on and off campus.
- Maintain most current information and updates by attending required trainings to support Certifying Official and Veteran students. Assist with the development, updates and distribution of accurate and current Veterans Center publications to relevant constituencies (brochures, flyers, posters and web content).
- Report any required maintenance needs that require immediate attention (ie. light fixtures that need to be replaced, plumbing issues, etc.).
- Collect student feedback for space improvements and usage. Provide this information to the Registrar for further investigation and collaboration.
Data entry, record maintenance, FERPA compliance
Collect and review all required documentation from student benefit recipients. Utilize Student Information System to track receipt of all required documents and review courses for benefit applicability (i.e., Degree Audit review) with accuracy and efficiency. Maintain physical files for all students utilizing benefits (per VA requirements) and ensure all information is kept in a secured space. Regularly review and archive files based on data retention timelines.Ensure FERPA laws and student privacy are adhered to including securing documents in spaces that are not accessible to others and not openly discussing / sharing personally identifiable information.Registration and Records related support
Assist with data entry in student information system related to registration of special populations (i.e., Veterans, tech prep, high school populations) and entry of immunization recordsAssist and participate in outreach within the community and with on-campus efforts and events related to enrollment or other broader communications campaigns.Conduct other clerical, office duties as required.Other duties as assigned.Qualifications
Minimum Education & Experience Requirements :
Associate's Degree; or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.Working experience in a busy, customer service-oriented position desirable.Experience in educational environment preferred.Knowledge / Skills / Abilities Requirements :
Outstanding communications skills.Strong interpersonal and organizational skills with the ability to develop effective working relationships with internal and external clients.Computer literacy skills at an intermediate level with the demonstrated ability to utilize and apply Microsoft Office Outlook, Word, Excel, and PowerPoint as well as specialized software programs and computer applications.Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.Preferred Qualifications & Special Considerations :
