Support Clinic Operations and Help Families Navigate Their ABA Journey
At Autism Center of Excellence (AutismCOE) , we help children with autism build confidence and independence through compassionate, evidence-based care. Our Office Manager is the operational anchor of the clinic—ensuring families feel supported, clinicians have what they need, and daily workflow runs smoothly.
We are seeking a highly organized, proactive Office Manager for our Fayetteville, NC clinic to oversee operations, client intake, scheduling, communication, and day-to-day coordination.
Position Details
- Location : Fayetteville, NC
- Schedule : Monday–Friday, full-time
- Setting : Clinic-based, in-person
- Reports To : Clinical Director
- Compensation : $40,000–$45,000 / year (based on experience)
ResponsibilitiesAdministrative & Operational Responsibilities
Oversee daily office operations to maintain smooth, efficient workflowManage office supplies, equipment, and inventoryMaintain organized records, including staff schedules, inventory, and compliance documentationSupport new staff onboarding by assisting with schedule coordination and shadowsMonitor staff attendance and report coverage concerns to the Clinical DirectorAddress facility and maintenance needs; ensure clean, organized workspacesClient Intake & Coordination
Manage the full intake process for new clientsCommunicate with families about paperwork, requirements, and next stepsEnsure client documentation is accurately completed and maintainedCoordinate with the Clinical Director to schedule initial assessmentsAct as the primary administrative point of contact for parents and caregiversScheduling & Session Coordination
Manage client scheduling to optimize therapy hours and minimize disruptionsCoordinate with families and staff to maintain consistent attendanceMonitor staff availability and adjust schedules as neededCommunicate schedule updates, cancellations, and client changes through Teams and client scheduling threadsSupport client check-in and check-out to ensure smooth transitionsMaintaining a Clean & Organized Clinic
Ensure therapy rooms, offices, and common spaces remain clean and well-organizedEnforce cleaning protocols and coordinate with staff to maintain sanitary environmentsRestock supplies (cleaning items, paper goods, therapy materials)Report maintenance or safety concerns to appropriate personnel, copying the Clinical Director to ensure follow-throughCommunication & Customer Service
Serve as the main administrative contact for families and staffDirect concerns to the appropriate team member and follow up for resolutionDeliver professional, timely, and compassionate communicationEscalate concerns to the Clinical Director when necessaryMaintain strict confidentiality and HIPAA complianceGeneral Office Leadership
Act as a liaison between clinical staff, administrative teams, and leadershipPromote a positive, professional work environmentIdentify operational challenges and recommend solutionsParticipate in team meetings, initiatives, and professional developmentQualificationsRequired :
High school diploma or equivalentExperience in office management, administration, or operational coordinationStrong communication, organization, and customer service skillsAbility to multitask and prioritize in a fast-paced clinical environmentProficiency with Microsoft Office and general administrative systemsPreferred :
Experience in healthcare, behavioral health, ABA, or related fieldsExperience with client intake, scheduling, or front-office coordinationFamiliarity with HIPAA and healthcare documentation standardsWhy Join AutismCOE
