Executive Assistant (EA) – Fast-Paced AI Tech Start-Up – San Francisco

Location : San Francisco – On-site

Reports to : Founder & CEO (UK / US-based; frequent international travel)

Compensation : up to $160,000 base + package dependent on experience

Join an early-stage global AI Tech start-up founded by a visionary leader in the tech space, pioneering a completely new field of Behavioural AI. As they continue their rapid growth journey, they are seeking a highly capable and detail-oriented Executive Assistant (EA) based in San Francisco (SF) to provide seamless support to the CEO, who travels regularly between the US (SF) and the UK (London).

This role sits at the very heart of the business, supporting a Founder & CEO known for his exceptionally high standards and attention to detail. We are looking for someone who thrives in the fast-paced, ever-changing environment of a start-up, and who can bring structure, rigour, and foresight to enable the CEO to perform at their best.

The Role

The role is tailored for someone who thrives under pressure, pays exceptional attention to detail, can anticipate needs, and effortlessly balances both personal and executive-level support.

You will be the CEO’s trusted operator, handling everything from last-minute international travel to personal logistics, while also stepping into high-profile and confidential business support activities.

The pace will be high, the demands diverse, and the standards exacting.

The successful candidate will be someone who thrives in ambiguity, has impeccable organisational instincts, and takes pride in delivering flawlessly executed outcomes, regardless of the task's size or complexity.

Key Responsibilities

Personal Support & Life Admin

Manage the CEO’s diary and appointments with flawless accuracy and foresight
Oversee travel bookings and itineraries across multiple time zones.
Handle confidential matters with discretion and integrity.
Anticipate personal needs and proactively resolve logistical challenges.

Executive & Strategic Support

Manage an ever-changing schedule across US / UK time zones, ensuring the CEO’s time is protected for strategic priorities.

Act as the first line of defence for all incoming requests, ensuring priorities are rigorously managed.

Prepare presentations, decks, and stakeholder communications with meticulous attention to detail.

Coordinate global travel, meetings, and board interactions, often at short notice.

Provide ad hoc business support to the broader leadership team as required.

About You

Minimum 5 years’ experience supporting a C-suite executive or founder, ideally within a fast-paced start-up or entrepreneurial environment.

Proven success working with detail-oriented leaders, with the ability to match and uphold high standards.

Exceptional organisational skills with a natural ability to anticipate needs and spot errors before they happen.

Proactive, solutions-driven, and comfortable managing multiple priorities simultaneously.

Tech-savvy, with strong proficiency in Google Workspace (Docs, Calendar, Drive, Slides).

Able to work flexibly across time zones, including occasional out-of-hours availability.

Based in or around San Francisco, with the ability to work in a hybrid capacity.
