Substitute Secretary Pool

Salary :   $24.52 - 24.52 Hourly Wage per hour

Substitutes - Growing Students into Scholars. We believe our substitute staff is an integral part of students growing into scholars and their success. We are actively seeking applicants who are skilled in making connections with learners, creating a welcoming environment, candidates of color and / or English Language Learners.

Job Purpose : Substitute Secretaries / Administrative Clerks, Under general supervision of an administrator / School Principal perform secretarial and clerical tasks. Must have the ability to perform in a dynamic environment and exemplify professionalism with an upbeat attitude to ensure efficient operations within the office. Clerks must provide professional communication in person, via phone, and email. Familiarity with a wide range of administrative concepts, practices, and procedures is preferable.

This is a high visibility position. The first contact for students, visitors, staff, and families calling or entering the school campus for support. A wide degree of creativity, competency, and latitude is expected.

Job duties include :

Provide Front Desk Customer Assistance

Manage and support Substitute Teachers, Substitute Special Education Assistants, etc.

Support staff and family communication

Assist students on a daily basis with day-to-day needs, questions, and concerns in a fast-paced environment

Assist staff, volunteers and parents with various questions and concerns

Distribute and maintain records for Metro Bus passes

Assist with the coordination of substitutes in the mornings

Assist with running electronic sign in

Related duties as assigned; examples include :

Maintain payroll exception form for class coverage

Process student fees

Maintain class size records, class lists and student attendance records, including tardiness

Processes memos, letters, reports, and correspondence

Create and manage student behavioral files as needed

Minimum Qualifications :

Secretarial experience or a closely related customer service experience

Knowledge of current technology

High school diploma or equivalent

Experience working cross-culturally and / or commitment to work toward one's own cultural competence (i.e., valuing difference / diversity, recognizing personal limitations in one's skills and expertise, and having the desire to learn in these areas)

Experience using Microsoft Office Suite, Google applications, email, and other related technology

Desired Qualifications :

Fluency in English and Spanish and / or Hmong

Experience using employee database applications

Experience in the use of student data information systems

Experience working in a school setting working directly with students who are considered "at-risk"

Teachers should collaborate with peers to reflect on student achievement and teacher practice data to continuously plan and improve instruction.

Substitute staff should take initiative to build relationships with students.

Substitute staff should understand unique family characteristics and find ways to engage families as full partners in their children's education.

Substitute staff should find challenges exciting and persist in the face of challenges.

Substitute staff should reflect on strengths and growth areas regularly as well as seek mentors to improve.
