Clerical Support Aide II

The Military Affairs and Veterans Department is actively seeking a Clerical Support Aide II. As a City of Jacksonville employee, you would have twelve (12) paid holidays and a personal leave day as well as low and no cost health insurance options. This is entry level clerical support work performing varied typing, data entry, filing, maintaining supplies, assisting customers; and reviewing, processing, and maintaining various fees, files, records, legal documents, information, and materials. Work requires a knowledge of office practices and procedures which involve the operation of standard office equipment such as a personal computer, copier, scanner, and calculator and which can be learned on the job within several months. Contacts require courtesy, tact, and effectiveness in dealing with others, and include contacts to request or provide information, ask questions or obtain clarification. The work is performed following established routines, procedures, and standing instructions, and although patterned, some variation in the sequence and choice of procedures used is permitted based on situations encountered in the workplace. Work is normally performed in an office environment though the employee may be required to deliver or pick up mail, documents, supplies, or materials. The physical demands consist mainly of moving from one work location to another, sitting, or standing at a workstation for extended periods of time, using standard office equipment on an ongoing basis, and dependent upon assigned work location, may be required to lift light objects weighing up to fifteen (15) pounds. The work is performed under general supervision where the work assignments are subject to instructions and established work routines, and the worker is given latitude to rearrange the sequence based on changing work situations or workflow.

Examples of Work :

  • Receives, processes, records, indexes, and / or files varied materials, files, documents, fees, and records.
  • Responds to inquiries and complaints from the general public and interprets and explains departmental policies and procedures to customers.
  • Gathers information and assists the general public in completing required forms and documents.
  • Types correspondence, memoranda, reports, records, orders, and other office documents from sources such as drafts, notes, and other instructions.
  • Reviews documents and files for completion and accuracy and routes to proper sources.
  • Establishes, retrieves, and maintains records and files.
  • Enters information or data to personal computer or computer terminal screen following established procedures.
  • Maintains files and documents with coding systems, out-cards, tab guides, and other controlling devices.
  • Orders supplies and prepares purchase orders.
  • Maintains inventory records and stock for assigned work area.
  • Makes written reports and fills out forms as necessary.
  • Operates standard office equipment such as a personal computer using word processing, spreadsheet, database, and related software, copier, scanner, and calculator.
  • Picks up and / or delivers a variety of mail, documents, materials, and supplies which may require operation of a motor vehicle.
  • Greets the public and answers the phone.
  • Demonstrates proficiency in the City of Jacksonville's competencies.
  • Performs related work as required.

  • Dependent upon assignment, ability to operate a motor vehicle or the ability to travel between various locations to meet the assignments of the position.
  • Open Requirements / Supplemental Information :

  • Ability to read, write, and communicate in English.
  • Must be able to operate a computer utilizing word processing and spreadsheet applications.
  • One (1) year of education and / or experience in clerical work - preferred.
  • Depending on assignment, may be required to have a valid Florida Class E Driver's License prior to appointment and which must be maintained during employment in this class.
  • Depending on assignment, must qualify for prior to appointment, obtain, and maintain during employment in this class a City of Jacksonville Certification as a Public Driver.
  • The probationary period for this class is six (6) months.
  • Depending on assignment, this classification performs safety-sensitive functions and is subject to pre-employment, random and other drug / alcohol testing programs as set forth in the City of Jacksonville's Drug Free Workplace Policy (0401).
