The Front Office Administrator at Nystrom & Associates, Ltd. is the first point of contact for patients and delivers a positive and welcoming experience. Provides administrative support including appointment scheduling, paperwork processing, and handling inquiries. Nystrom & Associates specializes in psychiatric evaluations, clinical social work, and family therapy.

Responsibilities
- Interact with patients and visitors with warmth and professionalism.
- Check-in patients for appointments, verify demographic information, provide paperwork, and collect payments.
- Coordinate care by scheduling patient appointments and collaborating with providers using multiple computer systems.
- Participate in administrative tasks such as electronic filing, scanning, faxing, and mailing in a timely manner.
- Answer inbound and make outbound calls, respond to inquiries promptly, provide accurate information, or triage as appropriate.
- Maintain a clean and organized front desk and waiting area, manage patient paperwork, office supplies, and other amenities.
- Handle patient concerns and crises with empathy, collaborating with site leadership to resolve as needed.
- Attend mandatory meetings and trainings.
- Other duties as assigned.
Hours
Hours : Monday – Friday 11 : 30 AM – 8 : 00 PM. Must be able to work one of the listed shifts. Eligible shift differential for hours worked past 6 PM.
Qualifications
High school diploma or equivalent.Experience in health care facilities and an interest in behavioral health preferred.Ability to prioritize in a fast-paced environment.Strong attention to detail.Positive attitude.Proficiency with Microsoft Office Suite and general technology use.Strong written and verbal communication and interpersonal skills.Ability to manage stress during difficult patient interactions; maintain confidentiality.Commitment to the position for a minimum of 1 year.Physical requirements : occasionally lifting and moving office supplies up to 50 lbs.Benefits
