Office Assistant 1 (Keyboarding) - Region 7 (NY HELPS)

Job Title

Duties include, but are not limited to :

• Sorting and distributing mail.
• Maintaining records and files.
• Answering telephones and appropriately responding to or referring inquiries made by employees, vendors, and customers.
• Providing assistance to the Program Aide in the administration of the Residency program which may include Personnel, Purchasing, and Training activities such as :
• Hiring and promoting employees, and employee orientations.
• Assisting with ordering supplies, purchase orders, and vouchers.
• Tracking and entering TRINFO data.
• Reviewing employee's time in MMS / LATS ensuring flex time, overtime, recalls, meal allowance, and leave times are all correct; then sending approved MMS records to the Time and Attendance system.
• Highway Work Permit entry.
• Assist with the Residency Adopt-A-Highway program.

Preferred candidate will possess excellent written and oral communication skills as well as proficiency in computer programs such as Microsoft Word, Excel, PowerPoint and Outlook.

Responsibilities may include serving a role within the Incident Command System to support the department's response to regional and statewide emergency situations.

Minimum Qualifications :

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

There are no minimum education or experience requirements for this title. Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.
