RYCO Heavy Haul, Inc. is seeking a highly organized and detail-oriented Administrative Coordinator to support our transportation and logistics operations. This role is ideal for someone with strong administrative and analytical skills who thrives in a fast-paced trucking environment and enjoys problem-solving and managing multiple priorities.
The ideal candidate will be comfortable working with QuickBooks, Microsoft Office, and data management tools, with the ability to learn quickly and take initiative with minimal direction. Prior experience in an administrative office setting required, experience in trucking or with construction equipment a plus.
Key Responsibilities
- Administrative Support : Provide day-to-day administrative assistance to the transportation and dispatch teams, ensuring all paperwork, permits, and documentation are accurate, complete, and properly filed.
- Data Entry & Analysis : Enter, maintain, and analyze operational data such as load details, driver logs, permits, and customer records to support reporting and billing accuracy.
- Documentation & Billing : Compile load details (BOLs, permits, timecards, subcontractor invoices, and rate confirmations) and assist with customer invoicing through QuickBooks and TORO Transportation Management System.
- Scheduling & Coordination : Support the scheduling of driver assignments, escorts, and police details, ensuring all required information (serial numbers, pickup / drop-off details, timing, etc.) is accurately recorded.
- Communication : Serve as a point of contact between the office, drivers, customers, and vendors ensuring timely updates and clear communication through calls, texts, and emails.
- Process Improvement : Identify opportunities to streamline administrative workflows, improve data accuracy, and enhance overall efficiency in the trucking operations office.
Key Skills & Qualifications
Proven organizational and time management skills with strong attention to detail.Proficiency with QuickBooks, TMS, Data Analysis systems, and Microsoft Office (Excel, Word, Outlook).Strong data analysis and reporting skills; ability to track and interpret key operational data.Excellent problem-solving and critical-thinking abilities; can work independently and adapt to changing priorities.Strong written and verbal communication skills with a customer-first mindset.Positive attitude, reliability, and a collaborative approach to teamwork.Benefits
