Job Overview
A well-established luxury custom home builder in the Indianapolis market is seeking an Purchasing Agent to join their growing team. This role is ideal for a detail-oriented construction professional with strong estimating, purchasing, and coordination experience who enjoys working closely with clients, vendors, and internal teams.
Key Responsibilities
Estimating
- Prepare full pricing quotes for new residential construction projects
- Finalize pricing for all client selections and compare against established allowances
- Review, compare, and evaluate vendor bids and supplier quotes
- Manage and price all change orders
- Research and onboard new vendors and products as needed
- Participate in client meetings and on-site walkthroughs
- Become proficient in BuilderTrend (primary project management platform)
Purchasing
- Ensure purchase orders are submitted accurately and on time
- Match vendor invoices to approved quotes and pricing; track variances
- Negotiate and verify vendor contract terms
- Prepare cost analysis reports, vendor comparisons, and plan cost evaluations
Permitting, Pre-Construction & Administrative Support
- Coordinate HOA approvals
- Submit and track energy certifications
- Manage city permit applications and approvals
- Set up new jobs in BuilderTrend (selections, document uploads, etc.)
- Assist with establishing, scheduling, and verifying utility connections
Time Allocation (Approximate)
- 10% – New prospect pricing and estimates
- 60% – Existing client pricing updates and change order preparation
- 10% – Scheduling and purchase orders
- 10% – On-site meetings, walkthroughs, and design coordination
- 5% – Research and selections support
- 5% – Permits and pre-construction setup
Qualifications & Skills
- Minimum 2+ years of experience in estimating, purchasing, or a similar construction-related role
- Strong understanding of vendor sourcing, pricing, and cost evaluation
- High attention to detail with strong analytical and financial reporting skills
- Negotiation experience preferred
- Proficiency in Microsoft Outlook, Word, Excel, and BuilderTrend (or similar construction software)
- Self-motivated, organized problem solver who works well in a collaborative environment
