Overview
Coordinate surgical scheduling to maximize operating room (OR) block utilization across Nemours and partner hospitals. Manage the EPIC OpTime depot, maintain case inventory metrics, and apply EPIC template optimization for clinical provider productivity and patient access.
Essential Functions
- Optimize divisional OR block time by daily management of the EPIC OpTime (OR) depot.
- Promptly and accurately schedule surgical procedures at Nemours, A.I. duPont Hospital for Children, Nemours Ambulatory Surgical Centers, and identified partner hospitals.
- Facilitate timely surgeries to provide excellent patient care and maximum OR block time allocation, using case length, clinical acuity, physician / family availability, and OR availability to identify the optimal surgical date.
- Make outbound calls to patient families to schedule procedures, communicating full information including financial responsibility and applying Nemours Standards of Behavior.
- Update the OpTime surgical case with required information and manage the surgical depot to keep inventory at or below metrics.
- Enter case information on surgeons' Outlook calendars.
- Utilize Qlik reports to enhance and optimize management of the surgical depot.
- Provide daily oversight of divisional clinical schedules and EPIC templates.
- Develop, build, modify, and maintain EPIC templates for assigned providers and specialty programs across all service sites.
- View and manage provider schedules, setting single-day edits, unavailable times, hold times, and clinic cancellations as required.
- Assess template effectiveness through EPIC and Qlik tools, reviewing patient access, provider productivity, and care center efficiency, and process template revisions as appropriate.
- Complete EPIC Revenue Cycle training and acquire proficiency in registration and scheduling.
- Schedule outpatient and telehealth appointments as needed and collaborate with the Access Center to communicate appointment changes and cancellations to patient families.
- Triage telephone calls, ensuring service excellence in all encounters.
- Provide administrative support to divisional leaders and clinical providers, including detailed schedule management, coordination of meetings, alignment between Outlook and Epic schedules, timely completion of reappointment applications, CME activity accounting, and ongoing CV maintenance.
Job Requirements
High School diploma required; Associate's or Bachelor's degree preferred.Within 12 months of position, complete EPIC Strategy End User badge curriculum and proctored exam, applying knowledge to core responsibilities.3–5 years of job-related experience required.About Nemours Children's Health
