Job description

Medical Office Specialist

A busy medical practice in Short Hills, NJ, is seeking a professional, organized, and compassionate Medical Office Specialist to join the team. As the first point of contact for patients, you will play a crucial role in ensuring a smooth and positive experience. The ideal candidate is an excellent communicator, detail-oriented, and capable of multitasking in a fast-paced environment.

Shift / Hours : 30 hours Monday thru Friday, 7 : 30am start time

Pay Rate : $22+ / hr

Location : Short Hills, NJ

Experience : 1 year

Key Responsibilities

Patient Communication : Manage multi-line phones, answer patient inquiries, screen calls, and direct them to the appropriate staff.

Scheduling : Manage the patient schedule by booking, confirming, and rescheduling appointments. Coordinate with providers to optimize patient flow.

Check-in & Check-out : Greet patients, manage the check-in process, and ensure all necessary paperwork and patient information are accurate and up-to-date.

Insurance & Verification : Verify patient insurance eligibility, benefits, and co-pay requirements prior to their visit. Collect and scan insurance cards and identification.

Payment Collection : Accurately and professionally collect payments, including co-pays, deductibles, and outstanding balances at the time of service.

Administrative Duties : Maintain a clean and organized reception area, manage patient records (EHR / EMR), handle faxes, and perform other administrative tasks as assigned.

Qualifications and Skills

  • Previous experience as a medical receptionist or in a similar customer-facing role (preferred).
  • Experience with Electronic Medical Records (EMR) or practice management software.
  • Strong understanding of medical terminology and insurance (plans, co-pays, deductibles).
  • Excellent communication and interpersonal skills, with a patient-focused attitude.
  • Proficient in managing multi-line phone systems.
  • Strong organizational skills and high attention to detail.
  • Ability to multitask and work effectively in a busy environment.
  • Reliable, professional, and punctual.
