Job Description

We are looking for an organized and proactive Office Administrator to join our team in Fort Myers, Florida. This Contract to permanent position requires a detail-oriented individual with strong administrative skills to ensure smooth day-to-day operations. The ideal candidate will handle a wide range of tasks, from answering calls to managing data entry, while maintaining a detail-oriented and welcoming office environment.

Responsibilities :

  • Monitor and respond to shared email inboxes and voicemail messages.
  • Answer incoming calls and greet walk-in guests professionally.
  • Maintain and update customer records in the CRM system, including tagging and invoicing.
  • Schedule customer appointments and follow-ups using the CRM and shared calendars.
  • Order and maintain office supplies; keep the front office and conference room tidy.
  • Assist with insurance certificate requests and electronic filing.
  • Participate in weekly management meetings and contribute to internal process improvements.
  • Assist in creating and maintaining standard operating procedures (SOPs).
  • Previous experience in administrative assistance or office management.
  • Proficiency in answering inbound calls and managing phone systems.
  • Strong skills in data entry with high attention to detail and accuracy.
  • Familiarity with receptionist duties and maintaining a welcoming environment.
  • Ability to multitask and prioritize responsibilities effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in office software such as Microsoft Office Suite.
  • High level of professionalism and ability to maintain confidentiality.
