We are looking for an organized and proactive Office Administrator to join our team in Fort Myers, Florida. This Contract to permanent position requires a detail-oriented individual with strong administrative skills to ensure smooth day-to-day operations. The ideal candidate will handle a wide range of tasks, from answering calls to managing data entry, while maintaining a detail-oriented and welcoming office environment.
Responsibilities :
- Monitor and respond to shared email inboxes and voicemail messages.
- Answer incoming calls and greet walk-in guests professionally.
- Maintain and update customer records in the CRM system, including tagging and invoicing.
- Schedule customer appointments and follow-ups using the CRM and shared calendars.
- Order and maintain office supplies; keep the front office and conference room tidy.
- Assist with insurance certificate requests and electronic filing.
- Participate in weekly management meetings and contribute to internal process improvements.
- Assist in creating and maintaining standard operating procedures (SOPs).
- Previous experience in administrative assistance or office management.
- Proficiency in answering inbound calls and managing phone systems.
- Strong skills in data entry with high attention to detail and accuracy.
- Familiarity with receptionist duties and maintaining a welcoming environment.
- Ability to multitask and prioritize responsibilities effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in office software such as Microsoft Office Suite.
- High level of professionalism and ability to maintain confidentiality.
