This is a remote position.
The Remote Records & Data Specialist plays a vital role in our behavioral health hospital by ensuring the accuracy, completeness, and security of records and data. Working remotely, this position supports admissions, treatment services, discharge summaries, and operational reporting by processing data, organizing records, and maintaining digital workflows. Your contribution ensures our clinical and administrative teams have reliable data to support patient care, compliance, and effective operations.
Key Responsibilities
Process and enter data from source documents such as intake forms, treatment logs, discharge summaries, vendor invoices, and billing records.
Review documents for completeness, accuracy, and compliance; follow up with relevant staff to verify missing or unclear information.
Maintain organized electronic and physical records (as applicable) including proper naming conventions, archiving of older files, and timely deletion of obsolete records.
Generate and distribute reports on data entry volume, error rates, backlog status, and any discrepancies for management review.
Collaborate remotely with clinical, treatment, and administrative teams to clarify data entries, document changes, and update system workflows.
Ensure the confidentiality and integrity of sensitive patient, staff, and operational information by adhering to privacy protocols and secure remote-work practices.
Identify opportunities for process improvement in documentation workflows, data-entry procedures or remote records management and propose solutions.

High School diploma or equivalent required; Associate degree or coursework in data management, records administration or healthcare-related field preferred.
Strong data-entry skills with excellent accuracy and attention to detail.
Experience using spreadsheet software (e.g., Microsoft Excel) and comfortable learning new records or data-management systems.
Strong organizational and time-management abilities; capable of working remotely, prioritizing tasks, and meeting deadlines in a fast-paced healthcare environment.
Clear written and verbal communication skills; able to follow up with remote teams, clarify data inputs, and provide status updates.
Reliable home workspace : stable internet connection, quiet environment, self-motivated and comfortable working independently.
Familiarity with healthcare or behavioral health settings and an understanding of records or data requirements is a plus.
