Bookkeeper - Family Office
Our client, a private family office, is seeking a highly organized and discreet
Bookkeeper
to oversee the timely and accurate payment of personal, household, and entity-related expenses. This individual will handle a wide range of accounts payable duties, vendor coordination, reconciliations, and financial reporting while maintaining strict confidentiality. This is an excellent opportunity for someone who is detail-oriented, trustworthy, and comfortable managing multiple accounts and workflows.
Responsibilities :
Bill Payment & Expense Management
Receive, review, and process all invoices for personal, household, and entity expenses.
Ensure timely payment of utilities, mortgages, insurance, payroll for household staff, property management fees, and other recurring bills.
Handle one-time and special payments, including travel, medical, and charitable contributions.
Maintain organized digital and physical files of invoices, receipts, and supporting documents.
Account Reconciliation
Reconcile checking, savings, and credit card accounts on a monthly basis.
Track outstanding payments and resolve discrepancies with vendors.
Monitor account balances to ensure adequate funds for upcoming expenses.
Vendor Management
Maintain and update vendor database with accurate contact and payment details.
Serve as primary point of contact for billing questions, payment confirmations, and issue resolution.
Review and resolve billing errors to ensure accurate charges.
Reporting
Prepare weekly and monthly expense reports for family office leadership.
Assist with budgeting by categorizing and summarizing spending.
Compile year-end financial summaries for tax advisors and CPAs.
Qualifications :
3-5 years of bookkeeping or accounts payable experience; family office, private household, or professional services background preferred.
Proficiency with accounting and bill-pay systems (QuickBooks, NetSuite, Bill.com, etc.).
Strong organizational, time-management, and documentation skills.
Excellent Excel and reporting capabilities.
High degree of discretion, reliability, and professionalism.
