POSITION SUMMARY

The Contracts Administrator prepares, negotiates, analyzes and monitors various company contracts, including but not limited to patient care and non-patient care services and supplies, facility agreements, property and equipment leases, assists the COO and CFO with insurance payor contracts and other vendor or service relationships.

He / she demonstrates a strong attention to detail and the ability to identify potential opportunities and risks associated with contractual relationships. He / she maintains familiarity with the terms of all contracts and maintains the contract database to facilitate tracking and monitoring of contract terms and requirements.

The Contracts Administrator coordinates and analyzes the implementation and ongoing use of contracts, communicates with contracted entities and internal users to minimize cost and improve utilization, ensures compliance with applicable laws and regulations, and ensures that the contractual relationships meet organizational goals. The Contracts Administrator will also provide administrative support to LifeTouch Health’s COO and CFO.

QUALIFICATIONS

Education : Bachelor’s degree in business, health care administration or a related field required. Additional pertinent experience above the minimum may substitute for the degree.

Experience : Minimum of three years’ prior experience in a contract administration and administrative / office management role or in a related field, preferably in a healthcare setting.

Additional Requirements : Superior attention to detail to spot inconsistencies in contracts; strong communication skills; and Microsoft Office experience with an intermediate-to-advanced skill level in Excel and Word. Able to work productively both independently and as part of a team. Excellent analytical thinking skills and problem-solving abilities. Strong organizational and time management abilities. Exceptional administrative, management, and interpersonal communication skills. Must have reliable transportation, automobile insurance, and a valid driver’s license.

PRIMARY RESPONSIBILITIES

In collaboration with the appropriate internal stakeholder(s), the Contracts Administrator :

  • Develops contract proposals to support organizational goals.
  • Negotiates contract terms with internal and external stakeholders.
  • Drafts proposed contract language for review and approval.
  • Establishes and maintains a contract management system for the organization.
  • Analyzes contracts and prepares written reports on cost / benefit and problems / opportunities.
  • Maintains an organized system of physical and digital records of all contracts and ensures that all contract files are accurate and up to date.
  • Maintains the contract database and ensures that key contract terms are entered timely and accurately.
  • Monitors key contract terms to ensure important deadlines and / or provisions are met.
  • Develops contract letters and other communications and notices, as required.
  • Provides regular status reports on implementation and ongoing experience with contracts that have a significant influence on patient care or significant cost to the organization.
  • Ensures all contracts comply with state and federal laws and regulations, in conjunction with COO, CFO and organizational attorneys.
  • Reviews and updates existing contracts as needed for each renewal or as required by law or regulation.
  • Explains contract terms and conditions to affected managers and employees, providing written or verbal instruction to ensure compliance with contract terms.
  • Analyzes potential risks involved with specific contract terms and communicates identified risks and options to minimize the risk to internal stakeholders.
  • Serves as liaison between internal stakeholders / users and contracted entities as needed to resolve problems, enhance communication, and ensure compliance with the terms of the agreement.
  • Stays up-to date with legislative changes and coordinates with the legal counsel as needed.
  • Ensures, in conjunctions with COO and CFO, all deadlines and conditions described in contracts are met (e.g., payments, termination provisions, etc.)
  • Creates and maintains and obtains approval of standard contract templates for frequently used contracts (e.g., hospital, nursing home, consulting physician, etc.) in the absence of the Special Projects Manager.
  • Analyzes contracts that do not adhere to the standard contract template, summarizes points of deviation, and forwards to the appropriate contract signer using the approved contract coversheet completed for the contract approval process.
  • Actively participates in process improvement activities.

Administrative Support :

  • Manages executive-level administrative tasks for the COO and CFO, including but not limited to managing multiple calendars of appointments; composing and preparing correspondence that contains confidential information; arranging complex and detailed travel plans, itineraries and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the COO’s schedule is followed and respected. Provides “gatekeeper” role, creating win-win situations for direct access to the COO and CFO’s time and office.
  • Organizes various committees, develops agendas and records minutes (i.e. Finance Committee, etc.).
  • Cross train for the Corporate Executive Assistant and Medical Staff Coordinator positions’ duties.
  • Cross train for the front reception and telephone support.
  • Other :

  • Attends all required meetings and in-services; seeks opportunities for additional professional development activities as appropriate.
