Position Overview
The Wellness Coordinator serves as the primary guide and facilitator for guests seeking to engage with our comprehensive wellness offerings. This role is responsible for creating personalized wellness journeys, coordinating activities across multiple venues, and ensuring seamless integration of our spa, fitness, recovery, dining, and rooftop wellness experiences. The ideal candidate will be passionate about holistic wellness, possess exceptional interpersonal skills, and thrive in a luxury hospitality environment.
Key Responsibilities
Guest Experience & Consultation
- Conduct wellness consultations with guests to understand their wellness goals, preferences, and any physical limitations
- Create customized wellness itineraries incorporating our diverse offerings : Surya Spa treatments, fitness classes, recovery sessions, mindful dining, and rooftop experiences
- Provide expert guidance on Ayurvedic principles, recovery technologies, fitness programming, and nutritional wellness
- Coordinate with Surya Spa practitioners to recommend appropriate Ayurvedic treatments and wellness packages
- Assist guests in scheduling and transitioning between various wellness activities throughout their stay
Program Coordination & Scheduling
Manage daily rooftop yoga sessions and coordinate with fitness instructors for strength training and mindful movement classesSchedule and coordinate access to the Recovery Suite (cold plunges, red light therapy, dry sauna, compression therapy)Oversee booking of the Ammortal Chamber for infrared and oxygen therapy sessionsCoordinate private training sessions and VO₂ Max testing appointmentsManage rooftop cabana reservations and seasonal wellness cocktail service at CalabraWork with culinary teams to coordinate wellness-focused dining experiences and nutritional consultationsFacility Management & Operations
Ensure optimal operation and cleanliness of the 3,000 sq ft fitness center, including Peloton bikes, Tonal equipment, and Pilates reformersMonitor and maintain the Recovery Suite equipment and wellness technologyCoordinate maintenance and setup for rooftop wellness activities and yoga sessionsManage inventory of wellness amenities, equipment, and retail productsAssist with the transition of guests between Restorative and Performance Wellness RoomsGuest Education & Support
Educate guests on the benefits and proper use of recovery technologies and fitness equipmentProvide information about local outdoor fitness opportunities, sports programming, and coastal wellness activitiesGuide guests through Surya Spa's Ayurvedic philosophy and treatment offeringsExplain the wellness principles behind our organic, seed oil-free dining options at Calabra and PalmaOffer recommendations for extending wellness practices beyond their hotel stayAdministrative Duties
Maintain detailed guest wellness profiles and preferences in our CRM systemProcess wellness package bookings and coordinate billing with front deskPrepare daily wellness activity schedules and communicate with relevant departmentsTrack guest participation in wellness programs and gather feedback for continuous improvementAssist with wellness-related events and group bookingsRequired Qualifications
Education : Bachelor's degree in Exercise Science, Wellness, Hospitality Management, or related field preferredExperience : Minimum 2-3 years in luxury hospitality, spa operations, fitness coordination, or wellness program managementCertifications : Current CPR / First Aid certification required; additional fitness or wellness certifications preferred (yoga, personal training, nutrition, etc.)Knowledge : Understanding of Ayurvedic principles, recovery technologies, and holistic wellness practices preferredTechnology : Proficiency with spa / fitness booking systems, CRM software, and standard hospitality technologyEssential Skills & Attributes
